Part-time Engineering Administrator

This is a 6 month Fixed Term position

QUALIFICATIONS:

Must be highly computer literate with thorough knowledge of IT packages including word, excel and outlook. Must be a good typist with high office organisation skills. A basic purchasing and supply qualification will be an added advantage since the job will include ordering, receiving and stocking of spares and materials.

MAIN DUTIES:

(1) Overall supervision and administration of the Engineering office

(2) In charge of preparing the duty roster

(3) In charge of tracking holiday and sick days for the department

(4) To ensure that maintenance schedules are updated and checklists are produced for maintenance engineers and contractors at the end of each day.

(5) Liase with contractors on Planned Maintenance due dates and inform POM.

(6) Maintain up to date store control database for Engineering Inventory, movement and secure storage of spares and equipment.

(7) Receive all delivered items into the Engineering stores, stack properly with assistance from engineering staff and update the computer.

(8) Process invoices for payment of vendors.

(9) Prepare labour variance reports and ensure timesheets are turned in correctly to payroll

(10) Process requisitions and orders in Birchstreet system

(11) Ensure maintenance request are recorded into data base

(12) Delegate urgent work requests to associates in liaison with Property Operations Manager .

(10) Attend all maintenance related meetings in the absence of Property Operations Manager.

(11) Prepare monthly HLP reports & any general filling and typing related to maintenance.

(12) Responsible for conducting investigatory interviews should an incident arise.

Education:

  • GCSE or equivalent (preferred)

Experience:

  • Customer service: 1 year (preferred)
  • Administrative experience: 1 year (preferred)

Language:

  • English (preferred)

Licence/Certification:

  • Driving Licence (preferred)
