We are seeking a highly organised and experienced Team PA to join a top-tier investment management firm, providing crucial support to a dynamic trading team. This newly created role is ideal for a proactive PA who excels in fast-paced, high-pressure environment.
Key Responsibilities:
- Administrative support: Managing calendars, scheduling meetings, and handling correspondence
- Documentation: Assist in preparing, reviewing, and filing trade-related documents, ensuring accuracy and compliance with internal policies
- Meeting Coordination: Organise meetings, book conference rooms, prepare agendas, and manage meeting materials. Take and distribute minutes as necessary
- Travel Management: Arrange complex travel itineraries, ensuring all travel plans are within budget and adhere to company policies
- Expense Management: Process and manage expense reports, ensuring timely submission and adherence to company guidelines
- Event Planning: Assist in organising internal and external events, including client meetings and team-building activities
- Office Management: Ensure the trading floor is well-equipped, and all equipment is functioning properly. Coordinate with facilities management for any necessary maintenance
- Ad Hoc Support: Provide additional support as needed, including project management, research, and report preparation
What we are looking for:
- Experience as a PA, ideally on a trading floor or in a similar high-pressure setting
- Strong organisational skills with the ability to multitask and prioritise in a fast-paced environment
- Excellent communication and interpersonal skills, with the ability to interact professionally at all levels
- Proficiency in MS Office (Word, Excel, PowerPoint, Outlook); familiarity with financial software or trading platforms is a plus
- High level of discretion and confidentiality when handling sensitive information
- Strong attention to detail and problem-solving skills
