Project Administrator Role

I am assisting a client in hiring a Project Administrator to join their team. The successful candidate will work closely with project managers, account managers, buyers, and other team members to ensure seamless project execution and timely completion of all required documentation. This role is pivotal in maintaining internal standards and providing proactive support across projects.


Role Purpose:

  • Collaborate with key team members to manage project tasks and documentation, adhering to company policies for accuracy and timeliness.
  • Act as the primary expert on internal systems and processes, ensuring all project materials are completed accurately and within deadlines.
  • Proactively support the team by anticipating project needs, advising on requirements, and taking ownership of tasks essential for project success.
  • Manage documentation thoroughly, including project trackers, assembly guides, and any required updates to orders or internal records.


Key Responsibilities:

  • Maintain and update project spreadsheets, internal reports, and system documentation.
  • Arrange couriers (such as DHL, TNT) and manage packing and shipping details.
  • Create delivery notes, commercial invoices, carton labels, and barcode labels as directed.
  • Ensure accurate tracking and logging of documents, including FSC folders and internal systems.
  • Handle order management tasks, including raising and revising orders through the internal OMS system.
  • Coordinate logistics and distribution services, supporting team needs for store installations and liaising with third-party vendors.
  • Attend weekly team meetings, maintain action logs, and manage project archiving.
  • Support the team as an expert in client-specific online systems and stock level adjustments.
  • Oversee internal documentation processes, including order confirmations, delivery notes, invoices, and job cost transfers.


Knowledge, Skills & Experience:

  • Proficiency in Microsoft Office, Outlook, and Teams.
  • Exceptional attention to detail and accuracy in documentation.
  • Initiative-driven, with the ability to anticipate needs and act independently.
  • Strong time management skills and commitment to on-time task completion.
  • Comfortable managing multiple priorities and collaborating across teams to ensure project success.
