About the role and what we’re looking for

South Oxfordshire and Vale of White Horse District Councils operate three community centres on Great Western Park in Didcot. The Community Centres Team is based at the largest of the three, the District Community Centre. The centres offer modern multi-purpose spaces which are suitable for a range of hire activities, classes, meetings, and events. We are seeking a friendly, organised, and responsible person who, together with the wider team, will help to oversee the day to day running of the centres.

Main duties and responsibilities

• Overseeing front of house operations, ensuring high quality customer service. Dealing with enquiries in person, over the phone and via email, meet and greet of customers and visitors, arranging and conducting viewings of the facilities available.• Supervising support officers and additional casual staff, where necessary supporting their training in the operating procedures of the facilities and allocating appropriate tasks.• Ensure at all times, the highest standards of safety, presentation and cleanliness are maintained within the centres and grounds.• Complete regular visual inspections and report any maintenance or cleaning issues, dealing with them when appropriate and assisting the centre manager in any follow up required.• Responsibility for the general security of the building and equipment when on shift, completing opening and closing procedures where necessary.• Ensure health and safety requirements are managed appropriately whilst on duty, in line with council procedures and relevant legislation. For example, fire safety, first aid, safe management of contractors.• Overseeing contractors working on site, including the completion of site inductions, reporting on the progress of work and any issues arising.• Processing of booking forms and invoicing, use of the council’s payment system, maintaining accurate records of income and usage, ensuring payments are received prior to use.• Liaising with Hirers, ensuring they have everything they require to run a high-quality activity.• Setting up and clearing away of furniture and equipment in accordance with user requirements, including audio-visual equipment and soft play, ensuring equipment is safe, functional, and fit for purpose.• Overseeing use of the catering facilities and equipment available, ensuring appropriate and safe use, completion of site inductions where required.• Coordinating the preparation and provision of pre-booked refreshments. For example, supplies of hot beverages, jugs of water and juice.• Completing minor maintenance tasks such as minor repairs to equipment and fittings, escalating remedials as appropriate via the Council system.• Assist in marketing and promoting the centres and activities, ensuring website pages are accurate and up to date.• Ensuring the Councils’ policies and procedures are followed, notably Health and Safety, Data Protection, Safeguarding.

Your essential skills, knowledge and experience

• Excellent customer service skills including face-to-face delivery.• Excellent communication skills and ability to communicate effectively both verbally and in writing.• Good IT skills and confident in learning new systems.• An understanding of health and safety procedures and risk assessment (preferably in relation to public buildings).• Strong interpersonal skills.• Experience of supervising others and working as part of a team, working effectively with varying styles and approaches.• Ability to organise and prioritise workload and day-to-day tasks.

Your essential qualifications

• 5 GCSEs at grade C or above (or equivalent), including English and Mathematics.

If you have the following experience or qualifications – it’s a bonus

• Emergency First Aid at Work• Experience of fire warden duties.• Understanding of food hygiene standards.• Use of electronic booking systems.• Experience of working in a local government setting.
