About the Opportunity

An exciting opportunity has arisen for a security vetting assistance to provide support to the Westlakes Security team working on the Jacobs Lot 2 PPP framework/projects as a member of the Security team.

It is an essential requirement that all staff hold appropriate security clearance and the Security Vetting team perform a vital role in assisting staff to apply for and renew relevant security clearances and passes. The role will involve working as part of the Jacobs Security Vetting team, predominantly to assist Jacobs and our Sub-contractor partnerships to apply for new security clearance and site passes, to assist with renewals and work with the Jacobs Security Controller on other security related tasks/projects.

The role is based in our Westlakes office (Whitehaven, Cumbria) and will be office-based minimum of 4 days per week.

Key responsibilities

  • Preparing new applications, following new staff/individuals being identified by a project, assisting to initiate applications process, issuing forms, requesting relevant documents.
  • Completing and checking applications, including ensuring queries are answered in a timely manner.
  • Preparing renewals - identifying staff/individuals who require renewals from the database, issuing forms and following up to ensure timely renewals.
  • Performing progress monitoring, ensuring the relevant records are accurately updated.
  • Checking progress and monitoring forms are returned to the required deadlines. Follow up calls to staff/individuals where required.
  • Attending regular security team meetings.
  • Assisting with GDPR compliance checks on the data held.
  • Doing compliance checking, assisting the team to run regular checks to ensure that all staff/individuals working on the projects are correctly cleared.
  • Drafting security notices and issuing them.
  • Assisting the security team with other ad hoc security tasks e.g., organising training, requesting IT accounts.
  • Liaising with the wider support team on PPP framework e,g. Resourcing, Jacobs in-house security team.
  • Providing absence cover for other security team members.
Ad Hoc Responsibilities

Assistance maybe required in the following areas:
  • Project security support (wider Jacobs business).
  • Other administrative duties assigned by Management.

Here's what you'll need:
  • Previous experience from a similar security vetting role would be beneficial, however on the job in-house training shall be provided.
  • Sound knowledge of Microsoft Office packages, proficient in Excel.
  • Excellent attention to details and an ability to cope with changing deadlines, whilst remaining calm under pressure.
  • Perform tasks with honesty and discretion. The role involves handling sensitive personal data and it is an essential requirement that this information is not divulged.
  • Be proactive in managing your own workload to ensure applications are completed on time and to quality standards.
  • Able to work with all levels of staff/individuals to ensure they complete applications on time.
  • Demonstrate reliability, flexibility, and adaptability.
  • Display an engaging, enthusiastic, and confident manner with an interest in supporting the work we do.
  • A team player, who is keen to learn and develop their skills.
