The Heritage Collections Information Assistant role sits in the Heritage Collections (HC) Team within Strategic Estates, reporting to the Heritage Collections Information Manager. The HC team are responsible for the professional management of three collections of national and international importance: the Parliamentary Art Collection, the Historic Furniture and Decorative Arts Collection, and the Architectural Fabric Collection. This Team provides a bicameral service to the House of Commons and the House of Lords, and is responsible for all aspects of strategy, display, collections management, care and conservation, technical and procedural standards, documentation, loans and interpretation.
The Role
The Heritage Collections team want to improve, increase and streamline their collection documentation. This position will play an essential role in ensuring that the collections are recorded and managed to a high standard in accordance with SPECTRUM.
The Collections Information Assistant will be crucially involved in data mapping and data cleansing projects with a view to improving information standardisation throughout the collections and supporting the data migration to a new Collections Management System (CMS). This includes working collaboratively and independently both on the Parliamentary Estate and in Heritage Collections storage facilities.
This post is also a key public facing role as it leads on responding to Members, staff and public enquiries via the Heritage Collections Inbox.
Some of the responsibilities for this role include:
Support the mapping and preparation of data for a migration to a new CMS. Assist in ongoing data cleansing and address documentation backlog to improve the accuracy and uniformity of collection information across Heritage Collections information assets. Support the development and implementation of documentation procedures in accordance with SPECTRUM. Co-manage the Heritage Collections’ Inbox, triage emails and forward to the relevant member of the team or reply as appropriate.Skills and Experience
To be successful in this role you will demonstrate:
Experience working with collections documentation in a museum, historic building or other heritage institution. Experience working with heritage sector collections management software. Strong understanding of museum/heritage documentation policies and standards (Spectrum) underpinning collections management across a wide range of heritage object types.-
