Receptionist/Administration Assistant

You will be an integral member of the Flexibles team, delivering excellent service to all visitors and callers to our Glenrothes site. As the face of our business, you will greet key clients, suppliers, and visitors, operate the switchboard, screen calls, and direct callers to their destination. You will also provide critical administrative support to cross-functional teams, assist with document preparation, and leverage your proficiency in Microsoft Office to support various projects and meetings.
RESPONSIBILITIES
- Answer telephone, direct, screen calls, taking and relaying messages via email in a timely manner
- Provide information to callers, greeting persons arriving at Flexibles and announcing visitor arrival to company employee
- Investigate and action invoice queries
- Ensure onsite contractors permits to work and insurances are maintained
- Maintain visitor and staff sign-in/out procedures to ensure security
- Schedule appointments, organising meetings, booking meeting locations, maintaining appointment diary either electronically or manually
- Organise beverages/ buffets and / or lunch for meetings, client visits etc and keep the reception tidy
- Prepare letters and documents, receiving and sorting out e-mail and deliveries
- Ensure common areas in office premises are equipped with required office supplies as appropriate
- Monitor and maintain office equipment and supplies, coordinating repairs as needed.

- Excellent customer service skills
- Any business or administration qualifications
- Working knowledge in managing a reception / front house area or
- Working experience in an administrative function
- High computer literacy
