We are seeking candidates for the following position based in the London office:

Global Events Operations Coordinator

Please note that this role is being offered as a 1 year rolling contract.

What can you expect?

We are looking for an organised, tech savvy candidate with great communication skills to work alongside our Senior Event Planners to assist with operational procedures within the team.

The role will be varied and includes liaison with internal and external stakeholders and event based administrative duties.

We will count on you to:

  • Build and manage online registration sites on Cvent - Invitee management, communications, registration/attendee management, hotel reservation/block management, event website maintenance, and reporting
  • Build and manage event mobile apps for key events.
  • Liaise with global design to create and submit design deliverables, using branding guidelines and best practice
  • Liaise with web design team to create and design specific event web pages.
  • Manage Global Events calendar
  • Create, track, review and submit invoices for event suppliers to ensure prompt payment
  • Manage AMEX corporate meeting card charges and reconciliation – work with finance and other departments to ensure accurate and timely delivery of critical event information – including pre-event accruals
  • Manage Global Events meeting scheduling - setting up Zoom meetings, booking conference rooms, and submitting building passes for visitors.
  • Oversee event supply ordering
  • Liaising with venue agency to source appropriate venues for events
  • Assist with delegate management on events as needed
  • Provide on-site event management support as needed
  • Handle group travel flight analysis when applicable
  • Provide timely updates and communicate project status with key stakeholders
  • Develop ways to optimize and streamline the global event processes
  • Keep up-to-date on industry topics and trends

What you need to have:

  • Good experience within a corporate environment with some focus on meetings and events
  • Previous experience using Cvent
  • Knowledge of other event technology and mobile applications is desirable
  • Strong communication skills, with the ability to work with internal and external stakeholders
  • Great organisation skills with the ability to track and manage multiple projects simultaneously
  • Flexibility with working hours to accommodate early or late events
  • Proven ability to work on your own initiative, as well as with a wider team.
