Position Summary:

This role is responsible for the development of business proposals. It ensures the coordination of activities with internal functions supporting the local sales teams in the execution of all activities related to tenders and contracts with public and private entities, in compliance with the law and procedures of the company.

This position also includes tender implementation, following given processes in a specific project plan and, coordination with the internal functions to ensure that local tenders are implemented accurately.

Position Responsibilities:

The role is responsible for effective end to end administration of designated Tenders / Request for Proposal (RFP's) or Request for Information (RFI's). Preparing all relevant tender documents by verifying the administrative and technical requirements and ensuring written formal tender proposal response.

  • Track, download and upload documentation and work within customer specific portals.
  • Ensure tracking of opportunities and live tenders to report and improve win rates.
  • Work with the sales function to prioritise opportunity pipeline
  • Complete project plans to facilitate the completion of all the tender documentation
  • Coordinate activities between all functions throughout the duration project.
  • Conduct the "first-pass" of each proposal and questionnaire and provide the answers to the questions by researching the appropriate knowledge database, reviewing past proposals, and searching relevant websites.
  • Act as gate keeper and project coordinator to ensure all customer files for the Tenders are collected, prepared and ready for submission.
  • Undertake the electronic archiving of documents in accordance with established criteria.
  • Establish standard process and maintain a database / library of Tender/RFP responses to questions focussed on the company capabilities. Making connections with functions across the business continually improve the content.
  • Co-ordinate the Tender Implementation plan for awarded tenders to secure orders and to drive customer satisfaction.
  • Bring forward ideas and solutions for continuous improvement via active participation in team calls.
  • Deliver process training and provide regular updates.
  • Support Sales in Renewal Activities
Minimum Qualifications:
  • Bachelor's degree or equivalent work experience
  • Experience in customer service or Administration of Tenders
  • Experience in working in a cross-functional environment
  • Excellent organizational skills, able to lead a project with a given plan.
  • Well-structured, self-directed, persistent and goals oriented.
  • Knowledge in Excel & data manipulation and usage of web platforms.
  • Excellent communication and interpersonal abilities to work in a Team Environment
  • LANGUAGE Local
  • Travel – not to exceed 5%
