The role of an agent's assistant centres around ensuring the smooth running of the agent's office through effective organisation and exceptional client care. Client promotion, seeking new opportunities across the industry globally and safeguarding their interests is at the heart of what an agent does. The successful candidate will need to quickly gain a comprehensive understanding and knowledge of each of the client's work and specific requirements, building loyalty to Curtis Brown.

Responsibilities

Client careBuilding an in-depth and up-to-date knowledge of clients' work including reading and watching material on an ongoing basis. Attending clients' studio records, screenings, plays and watching clients' broadcast work. Drafting and sending out tape requests/auditions to clients, monitoring deadlines and making sure all tapes are submitted in time, in the correct format. Reading scripts and breaking some of these down for the department. Suggesting clients for roles and following up with casting directors.Submitting clients' scripts and keeping a log of feedback. Keeping up to date on industry news. Ensuring all client information is accurately recorded on the Company database systems. Regularly update clients' CVs, showreels and other information relating to clients' e.g. Spotlight.Ensuring all administration for new clients is carried out quickly and efficiently. Building and maintaining positive relationships with clients, production companies, entertainment talent bookers and other industry contacts. Organising clients' meetings (including - transport, hotel and restaurant bookings, hair and wardrobe appointments as required). Maintaining an up-to-date schedule and record on the Company database. Accounts and contractual administration Ensuring contracts are accurately administered, recorded, and can be quickly accessed. Entering information to the Company database and other relevant systems. Drafting and reviewing contracts following agent negotiations, ensuring that all terms are in line with those agreed with the client. Ensuring that contracts are signed by all parties as quickly as possible, tracking progress, monitoring, and chasing where necessary. Negotiating specific terms and client fees for other projects as directed by the Agent. Invoicing for fees and chasing late invoices for payment when required, in liaison with the Client Accounts team. Ensuring the Agent is aware of any issues.IT administrationEnsuring that information and images for existing clients is regularly updated on the company website and other relevant web profiles in order to offer the client premium promotion opportunities and provide high quality information for producers and casting directors. Drafting web profiles for new profiles, adhering to Company style guidelines.Composing news stories for the website to promote clients' work. Promoting client work via Curtis Brown social media channels.PR and marketingHelping to assess the suitability of potential new clients and assisting Agent in putting forward clients in a way that best highlights their strengths and suitability for work. Following up on proposals and requesting feedback if clients are unsuccessful. Being alert to and aware of the potential newsworthiness of the client's work. Organising interviews, press, shoots and other publicity events as required. Organising flowers, cards, and tickets for press nights. Collating reviews of performances and premieres. Ensuring clients' information and membership are up to date on Spotlight.General administrationAnswering the phone with a confident manner. Transferring calls to the agent or taking messages accurately. Collecting and opening post, organising couriers, handling fan mail – discussing with the Agent where appropriate. Processing expenses in a timely manner.Maintaining clear filing systems to identify the latest versions of documents and scripts.Provide cover for the Agent when they are ill, on holiday or travelling for work.Setting up and coordinating meetings for the Agent and their clients. Ensuring visitors to the office/department are booked with reception, given a warm welcome upon collection and that meeting rooms are set up.Arranging Agents' and clients' attendance at meetings or events as required, including transport, accommodation, reservations etc. Knowledge, skills and experienceA passion for and knowledge of the industry - across film, theatre and television Excellent organisational and time management skills, with the ability to multi-task and cope with a large workload An interest in social media and the ability to compose tweets and posts that are both respectful of the company values and creatively promote client workExcellent communication skills – written and verbalExperience of video editing packages/software would be beneficialA high level of accuracy and attention to detail in your work Ability to work under pressure and with interruptionsPrevious experience working in an Assistant in a Literary or Talent Agency is desirable, or in a supporting role in an Agency for a Talent DepartmentAbout youA team player who is able to positively contribute to and collaborate with the whole departmentAble to work independently and autonomously, using initiative and proficient problem-solving skillsResilient, adaptable and creativeSomeone who is highly motivated with a strong work ethic – and stamina, you'll be expected to work additional hours, e.g. theatre tripsSomeone with a flexible approach to problems – a person who can learn quickly The employer reserves the right to close the listing and stop accepting applications sooner than the original deadline.
