The Vacancy

The successful candidate will provide Personal Assistant (PA) support to the Head of the Actuarial Public Business Unit and may have responsibilities for supporting other Senior Actuarial Consultants.

The role also includes operational support responsibilities as set out below.

You will work in a supportive and fast-paced environment with a variety of responsibilities including supporting the delivery of exceptional service to our clients. The successful candidate will be highly motivated and possess key attributes around planning, organising and attention to detail.

Key Responsibilities:

PA and operational support requirements including:
  • Regular inbox management, flagging any urgent items/matters for attention as appropriate.
  • Diary management, including responding to internal and external meeting requests and making any necessary arrangements.
  • Preparing agendas, supporting documentation and meeting minutes for the business unit Management Team meetings.
  • Arranging and coordinating steering group meetings for areas of work (known as propositions), including preparation of agendas, actions and tracking progress.
  • Provide ad-hoc support to a Proposition Owner in the operational management of their responsibilities as requested.
  • Establishing relationships with clients or their personal assistants to co-ordinate diaries and arrange external meetings.
  • Provide administrative support to the wider team as required including issuing of advice and work to clients.
  • Attend additional meetings as required including minute taking and maintenance of action lists.
  • Pro-actively arrange all travel and accommodation requirements, liaising with the Firm's corporate travel booking company.
  • Process, monitor and retain records of expenses.
  • Preparation of client bills and management of the billing exercise for the clients you support within the required timescales.
  • Distribute, draw attention to and deal with relevant client correspondence on behalf of the individuals you support.
  • Screen and deal with your allocated clients' calls as appropriate, ensuring that any appropriate actions from the client call are dealt with / escalated, as appropriate.
  • Perform ad hoc associated PA and team secretarial duties.
  • Adhere to the firm's mandatory policies including on Information Security.
Personal Characteristics:
  • Highly organised and self-motivated.
  • Ability to learn new systems and/or processes
  • Well-developed skills in planning, organising and coordination.
  • Flexible approach to solving problems.
  • Respectful of confidentiality and applies discretion where needed.
  • A team-player, able to mentor and support less experienced colleagues.
  • Contributing positively to the culture of the Firm, providing support to the team where required
  • Demonstrates Hymans's values of confident, friendly, straight-forward and partnering
  • Insistent on providing first class service delivery to all clients.
Qualifications and Experience:
  • Educated to GCSE / Scottish Standards or equivalent level in English.
  • In possession of a recognised professional qualification.
