We are looking for an Assistant to the UK & Ireland General Manager who is experienced, adaptable and innovative to join our team, based in our Slough campus, Berkshire, United Kingdom.
About the role
You will be responsible responsible for a wide range of administrative, communication, and leadership tasks. These include managing the General Manager's calendar, travel plans, and expense reports, handling incoming issues and concerns, and communicating effectively with stakeholders. also expected to provide leadership, build relationships, and contribute to special projects. Additionally, you will be responsible for animating and co-ordinating the UK & Ireland assistant community, including but not limited to organising meetings and events, providing onboarding support to newcomers, and facilitating communication and collaboration.
Who you'll work with
You will work closely with the UK & Ireland General Manager and other senior stakeholders within the business as well as other regional and global internal and external partners.
What you'll do
- Complete a broad variety of administrative tasks, including calendar management, travel, expenses, agendas and minute taking.
- Research, prioritize, and follow up on incoming issues and concerns addressed to the General Manager.
- Provide smooth communication between the General Manager and stakeholders and work closely and effectively with the General Manager to keep him well informed of upcoming commitments and responsibilities.
- Build relationships crucial to the success of the organization, manage and contribute to special projects for the General Manager, and prioritize conflicting needs.
- Connect the dots between information learned from emails, staff meetings and other discussions, and develop insightful proposals and solutions.
- Proactively schedule regularly established meetings, well in advance, on an annual basis, to secure time slots and meeting rooms, and in coordination with the UK & Ireland calendar.
- Prepare meeting agendas, meeting minutes, required information, documents and files ; coordinates pre-reads and other meeting preparation materials.
- Create purchase orders and manage invoicing process.
- Act as a liaison between the UK & Ireland assistant community and the global UCB assistants community, representing the interests and concerns of the UK & Ireland assistants.
