What are we looking for: 

We’re hiring a full time Operator to join our London office. The Operator is responsible for the day-to-day operations management of various business desks, with primary focus on truck rack operations in East Africa. Responsibilities include but are not limited to logistics, cost control, record keeping, contract administration, accurate volume actualizations in the trading system, truck rack management and risk mitigation. The Operator will report to the Head of Global Operations. This role would suit someone who is proactive and a problem solver who takes initiative, has a high degree of integrity and reliability, and strives in a fast-paced environment.

 

What you should bring: 

  • A minimum of 2 years’ experience in a similar trading environment role, with knowledge of traffic support responsibilities required for truck rack operations, with the intent to gain additional operations and logistics experience.
  • Proficiency with data management and reporting in ETRMs (Allegro preferred).
  • A comprehensive understanding of trading models and trading strategies and exposures that arise out of them.
  • Understanding and ability to work in multiple time-zones as well as working out of office hours, including early mornings and weekends.
  • Excellent communication and interpersonal skills to interface with all areas of the business and counterparties.
  • Initiative and energy whilst being a team player in a fast-paced environment.
  • Ability to work independently and without supervision, ensuring deadlines are strictly adhered to.
  • A high level of confidentiality and professionalism.
  • Strong organizational skills, attention to detail and ability to demonstrate problem-solving skills.
  • Strong knowledge of Microsoft Office Suite (Word, Excel, Outlook, PowerPoint, and Teams) with advanced excel skills.
  • Bachelor’s Degree, preferably in Finance, Mathematics, Accounting, Economics, Business Administration, Shipping or other energy-related fields.


What you will do: 

  • Actively manage and perform trades as per contract.
  • Work in multiple time zones and out of office hours, in particularly in the mornings, to ensure operations are running and Saturdays so that customers’ needs are met.
  • Keep Senior Operations and the Settlements team up to date on completed truck liftings to finalize volumes and payment.
  • Ensure receipt of Daily Stock Reports from our local agents including BL splits.
  • Maintain the lifting schedule and actualized truck volumes, with each Truck ID, BL number, metered volume loaded, Title Transfer Date, updated on the EAF Book.
  • Update the delivery notes from terminals to the Nomination Book.
  • Save all delivery notes in the designated shared drive folders for audit control.
  • Be responsible for advising traders of potential issues and developing a logistical solution to optimize deal execution within deal limits, in terms of both cost minimization and margin maximization.
  • Manage the safe, compliant, and efficient movement of products via various modes of transportation where applicable., effectively communicating with terminal personnel to ensure load and discharge orders are conducted efficiently.
  • Maintain daily communication (written and verbal) between customers, suppliers, and truck owners/operators to ensure all orders are conducted in a timely manner and as per contract.
  • Perform inventory management, including monitoring daily stocks, scheduling, quality and quantity review, sampling, and blending operations to ensure compliance with contractual terms as well as maximize profitability.
  • Request Releases/LC’s or prepayments through Finance Department.
  • Review and approve all operational related invoices.
  • Work closely with the Accounting Department to ensure accurate deal entry in Allegro system.
  • Provide timely and accurate inventory position information to traders.
  • Ensure all cargoes observe the relevant incoterms per deal.
  • Nominate cargo inspectors, carriers, loss control where applicable.
  • Inform clients of all cargo details (ETA’s, load volume) and provide necessary documents (BL’s, COO’s, COA’s, etc).
  • Maintain accurate record keeping of operational deal movements to ensure regulatory compliance.
  • Be open to cross-training opportunities on the vessel operations desk and provide ad-hoc support to the Senior Operations Team as necessary.
  • Work closely with other Novum offices to organize and coordinate the logistics, financing, and inventory control of all product shipments.
  • Attend industry events, developing strategic business relationships with external counterparts.
  • Perform additional ad-hoc reporting or duties as assigned.
