Job Summary:


We are seeking a proactive and organised Office & Sales Administrator to assist with the day-to-day operations of our office and sales function. The candidate will play a key role in the efficient running of our office activities and in maintaining a productive and positive working environment while managing a variety of administrative, operational and sales tasks.


Key Responsibilities:


Office Operations and Administration:


  • Assist with the management of our daily office operations, ensuring the office is well-organised and fully stocked with necessary supplies and equipment.
  • Act as first point of contact via the office telephone and email systems and, ensure all enquiries are directed to the correct teams and resolved in a timely manner.
  • Ensure any enquiries / complaints are appropriately recorded, managed and resolved in a timely manner.
  • Assist with the resourcing of the office reception and act as receptionist to welcome visitors and clients to our offices.
  • Work closely with the Office Manager and facilitate the acknowledgment of company / employee birthdays, length of service, religious and annual events.
  • Work closely with the finance department to monitor office-related budgets, expenses and invoices.
  • Work closely with the compliance team to update job records.
  • Any other reasonable responsibility assigned by the management team.


Sales Administration:


  • Assist scheme management team in daily sales administration services.
  • Responding to enquiries about our company’s products or services.
  • Administration of documents inline with customer submission requirements.
  • Record and facilitate the successful resolution of customer enquiries.
  • Record all new leads and enquiries within our approved software systems.
  • Make bookings for the survey and installation teams and regularly update customers on the progress of works.
  • Build and maintain strong customer relationship and ensure all client / customer needs are met.


Team Coordination:


  • Assist the leadership team to organise meetings, conferences, and office events.
  • Assist with calendar management and travel arrangements for the leadership team and key personnel.

Excellent written and verbal communication skills.

Positive attitude, adaptability, and strong interpersonal skills.

Problem-solving skills.

Proficiency with office software (Word, Outlook, Excel)

Attention to detail and a proactive approach to improving office processes.
