Overview of rolenWorking under the guidance and supervision of the Head of Vetting and Marine Assurance you will be responsible for providing administrative support to the Vetting Department. Coordinating the compliance of the Tanker and Bulk Carrier fleets, in line with the commercial vetting and compliance requirements.
Key responsibilities and primary deliverablesnVettingnNotify vessels about planned vetting inspection.nEnsure vessels SI reports are received as per agreed timescale and submitted to Oceanfile.nOrganise SIRE and CDI inspections for the tankers and, RightShip inspections for the bulk carriers in accordance with the inspection plan.nRender assistance with Pre-SIRE documentation.nOrganise Safety and Charterer inspections that are commercially requested for a particular voyage.nProvide vessel with requisite Class documents, prior to vetting inspections.nSubmitting Service/Repair orders to Oil Majors/RightShip/3rd party vetting contractors.nCoordinate with local agents, vessels, inspectors, and superintendents to ensure planned inspection can be completed in a cost-effective way.nUpdate and maintain office records with Vetting Reports, Ship inspection and Port State Control data.nEnsure crew evaluation is completed on intranet by Superintendents upon completion of planned SIRE/CDI/RightShip/Safety inspections.nDownload Superintendent’s Oceanfile reports for Tanker Fleet and pass them on to the relevant assistant for filing and circulation.nOil majors / RightShip approval message to be filled and maintained in SharePoint.nCoordinate with vessels and agents for periodical P&I attendance as required by P&I Clubs.nAssist with questionnaires, drawings, certificates etc, as required.nKeep OCIMF, RightShip, Q88 and CDI databases updated with vessel information.nPrepare the KPI data for vetting and PSC inspections for the respective fleets.nAnalyse data and prepare reports, graphs, trends etc.nAssist in preparing reports and presentations.
Skills ProfilenShipping related degree or equivalent.nPrevious office / administration experience within a ship management company.nDemonstrated strong interpersonal skills to facilitate and maintain strong relationships at all levels of the business.nExcellent attention to detail with the ability to identify and focus on relevant information.nWell developed numerical, analytical and report writing skills.nAdvanced knowledge of Microsoft Office; Word, Excel and PowerPoint and open to learning other data software package skills.nAbility to self-motivate and to prioritise conflicting demands against short timelines.nStrong focus on delivering quality and meeting deadlines. Successful track record in dealing with a broad set of activities within a fast-paced environment, whilst managing pressure well.
