We work closely with institutional partners, family offices, architects, and tenants to deliver high-quality projects across the UK and internationally. The Role We are looking for a highly organised and proactive Personal Assistant & Office Manager to support the day-to-day running of our studio and provide direct executive assistance to the partners. This is a hands-on, fast-paced role that blends office management, personal administration, and operational support across the company’s various projects and entities. The role requires someone grounded and hands-on, equally comfortable managing complex logistics and the small practical details that keep everything running smoothly. The ideal candidate is detail-oriented, resourceful, and able to anticipate needs before they arise. They will ensure the smooth functioning of the office, manage the partners’ diaries and travel, and provide essential administrative and financial coordination across the group. Key Responsibilities 1. Executive & Personal Administration · Manage complex diaries for two partners, ensuring meetings are efficiently scheduled and resolve diary clashes, ensuring both partners are well-prepared and punctual for meetings · Coordinate and book travel – including flights, hotels, transfers and itineraries – ensuring seamless logistics · Manage and reconcile expenses for both partners, ensuring accurate records and timely submissions · Handle personal administration including payments, parking fines, courier arrangements, and other ad hoc tasks · Maintain confidentiality and discretion across all personal and professional matters 2. Office Management · Maintain a well-run, clean, and welcoming office environment · Manage post, answer the door, and coordinate deliveries and couriers · Oversee cleaning schedules and manage cleaning and maintenance contracts · Oversee kitchen and office supplies – ensure communal areas are well-stocked, tidy, and maintained to a high standard · Manage utilities, service providers, and ensure all IT systems function smoothly · Track and collect rent payments from tenants or subtenants · Record and reconcile office income and expenditure, keeping accounts up to date 3. Operations Support · Assist the retail and property managers with operational logistics · Coordinate contractors and maintenance for properties · Provide bookkeeping support – reconciling payments, reviewing VAT returns, and maintaining clear records for accountants 4. Team & Culture · Support internal team initiatives including company social events – such as team outings, the summer party, holiday celebrations, and other team-building activities 5. Corporate Administration · Maintain an organised record of all company entities, registrations, VAT numbers, and tax IDs · Track filing obligations and coordinate with accountants to ensure compliance across companies · Support company set-ups, filings, and renewals Ideal Candidate · 3-5 years’ experience as an Executive Assistant, Office Manager, or similar hybrid role · Exceptionally organised, proactive, and discreet · Comfortable managing multiple competing priorities in a fast-paced environment · Grounded and hands-on – someone who approaches both the big and small things with the same level of care and follow-through. · Excellent written and verbal communication skills · Proficient in Microsoft Office and bookkeeping software (e.g. Xero or QuickBooks) · Reliable, polished, and comfortable working closely with senior leadership Why Join Us?
