We are looking for a Bid manager to support the Head of Bid Management and the bid teams throughout the lifecycle of a bid, delivering high quality proposal content that is compliant, responsive, easy to assimilate, and maximizes scores at bid evaluation.


Primary Duties/Responsibilities

  • Working closely with the Head of Bid Management and Sales teams in the development of high-quality professional responses and submissions.
  • Contributing to the identification of customer drivers, unique selling points, and bid strategy.
  • Serving as a trusted partner/consultant on the bid management process.
  • Working with and supporting colleagues and the Head of Bid Management in day-to-day activities, programmes, and initiatives.
  • The submission of high-quality, professional bid responses.
  • Reviewing and analysing customer ITTs, PQQs, RFIs, RFPs, RFTs, etc. to identify the specific deliverables that need to be included in the bid response.
  • Articulating the key information to the members of the bid team.
  • Scheduling and leading bid kick off meetings.
  • Ensuring all bid contributors understand their responsibilities, obligations, and deadlines.
  • Coaching on writing bid responses.
  • Driving bid progress to ensure timely completion of the bid.
  • Editing non-functional responses.
  • Supporting the deal governance process.
  • Stakeholder management over the bid teams, Sales, and the wider Group.
  • Interfacing across all areas of the Group.
  • Maintain a quality assurance programme.


Tactical

  • Delivers end-to-end proposal support to the business from receipt of customers’ requirements through to bid production and delivery at all levels.
  • Delivers guidance, help, and support in qualification, continuing to qualify opportunities throughout the bid lifecycle.
  • Coach sales and bid teams and prepares bid management best practices, tools, and techniques to drive effectiveness of bids and increase win probability.
  • Supports the Head of Bid Management and the Sales leads to create detailed win strategies and bidder comparison matrices.
  • Preparing and updating response matrices, bid timelines, and bid response documents.
  • Analyses customer requirements against Integrity360’s capability to develop credible win strategies.
  • Assists and supports in the information and planning needed to write the Executive Summaries.
  • Facilitate solution baseline development together with the technical team and subject matter experts.
  • Creates bid plan workbooks in preparation for bid kick-off meetings, and then manages the bid plan.
  • Assists in the preparation and can lead the proposal management component of the bid kick off meeting.
  • Prepares and leads the bid kick of meetings, including the presentation, strategy, competitor analysis, solution approach, and the roles and responsibilities to achieve the win.
  • Custodian of bid master files at all times, including internal and customer documentation and correspondence.
  • Responsible for formatting the bid response to ensure a professional look and feel.
  • Responsible for bid production of final customer documentation.
  • Responsible for performing quality assurance reviews.
  • Deep understanding of proposal management and bidding best practices.
  • Responsible for ensuring content in the bid content library is maintained, working with content owners to ensure the collateral is up to date.
  • Supporting the Head of Bid Management in determining if opportunities need to go to DAC.
  • Delivering bid management best practices across the Group.
  • Sharing knowledge and experience within the business, ensuring expertise is embedded in the team and wider Group.
  • Organising and leading the bid lifecycle milestones: bid/no-bid, mid-point, review, and the submission gate.
  • End of bid review to ensure any new collateral can be uploaded to the bid library.
  • Continuous communication to drive improvement of the bid management function.


Bid response and proposal management

  • Responsible for supporting the delivery of quality proposals to new and existing customers.
  • Responsible for supporting final bid production.
  • Ensuring that all documentation associated with bid development is filed appropriately.


Technical enablement

  • Maintaining a thorough understanding of the internal tools, systems, and processes required to develop approved and quality proposals for customers.
  • Supporting the qualification of opportunities with Sales and the technical team regarding the DAC (Deal Approval Council.)


Desired Skills and experience

  • Must have previous experience as a Bid Manager and be able to demonstrate a track record of developing skills, experience, and success.
  • Deep understanding of bid processes, procedures, and methodology.
  • Staying current about bid management best practice.
  • Sharing lessons learned with the wider bid community for mutual benefit and continuous improvement.
  • Strong problem-solving methodologies.
  • Professional demeanour.
  • Previous and proven experience working in critical teams.
  • Understanding the selling process and complex bids.
  • Must be proficient with Microsoft Word, Excel, and PowerPoint.
  • Show the highest degree of energy, commitment, enthusiasm, drive, self-motivation, and flexibility, day-in, day-out.
  • Self-starting and self-motivating, able to work under pressure, producing work of a high quality against the deadlines.
