As the Estate Manager, you will play a crucial role in ensuring the smooth running of the buildings and estate. From recruitment and training of site-based staff to maintaining a safe and pleasant environment, you'll be responsible for monitoring Health & Safety systems and promoting best practises.
Key Responsibilities:
Manage the estate and blocks.
Conduct regular site checks to maintain high standards of property presentation and repair.
Ensure compliance with operational standards, including up-to-date and complete use of Microsoft applications.
Build and maintain effective relationships with clients, tenants, and leaseholders.
Attend and undertake regular client meetings to ensure smooth operations.
Prepare and present periodic client reports.
Manage budgets, service charge budgets, and procurement exercises for best value services.
Lead Section 20 works and ensure compliance with health and safety regulations.
Implement proactive communication strategies with clients and leaseholders.
Collaborate with the Regional Facilities Manager to provide efficient facilities management services.
Plan and manage all works and projects, ensuring compliance and liaison with service providers.
Maintain IT-based reporting systems for maintenance and risk management.
Supervise service contracts and maintain records of work carried out.
Ensure effective management of health & safety files and documentation.
Manage outsourced service providers and in-house team for security, cleaning, landscaping, and maintenance.
Oversee CCTV systems in accordance with data protection legislation.
Manage waste management plan and collaborate with local agencies.
Coordinate defects liability process and resolve issues.
Nurture and support junior team members and inspire best practises.Safety & Security:
Ensure effective and efficient day-to-day running of the buildings and estate.
Maintain high standards of personnel duties and presentation.
Control and secure service areas, monitor accidents, and attend to incidents.
Adhere to fire, health, and safety regulations.
Walk public areas regularly to ensure cleanliness, maintenance, and landscaping.
Ensure compliance with statutory requirements and codes of practise.
Maintain control of security operations and liaise with relevant authorities.
Update insurance risk control requirements and maintain health and safety records.
Monitor keys for common areas and estate serviced areas.Enquiries:
Handle enquiries from tenants, leaseholders, contractors, and the public.
Respond to and manage enquiries and complaints, ensuring appropriate resolution.Public Relations:
Establish and develop good relations with authorities and local agencies.
Collaborate with local authority, police, fire brigade, public transport providers, and Canal & River Trust.Staff:
Work with on-site staff and contractors to achieve goals.
Implement training and development programmes.
Ensure smart and well-presented staff at all times.
Collaborate with Assistant Estates Manager, if applicable.
Cover role and responsibilities of Assistant Estate Manager in their absence, if applicable.Essential Skills, Knowledge, and Experience:
Minimum 3 years of relevant industry experience, including residential management.
NEBOSH & IOSH Health & Safety qualifications.
Experience managing services to an agreed budget.
Strong initiative and ability to meet deadlines.
Excellent communication skills and client-oriented approach.
Proficiency in using Microsoft applications.Desirable Skills and Qualifications:
Operational experience in the residential sector at supervisory/managerial level.
AIRPM or MIRPM qualified.
First Aid qualifications.
