SENIOR EXECUTIVE OFFICER
ARMAGH BASED
ADMINISTRATIVE SUPPORT ROLE
This role is temporary until December 2024 initially and may be extended beyond December if the service requests it.
As Senior Executive Officer to the Category Officer, you will provide efficient and effective managerial administrative support. you will manage a team of 4 Assistant Category Officers within the Fleet and Transport Procurement section.
You will be proficient in MS Packages such as Excel, Outlook, and Word. You will be confident in the daily use of spreadsheets and databases and will conduct typing and word-processing reports. You will assist the Category Officer with tender documentation. It is also favourable if you have knowledge of procurement and compliance within an administrative structure.
Key duties and responsibilities are as follows:
Organise and manage a team of category assistants providing a best practice procurement approach
Practice supervisory responsibilities for staff organised in groups or teams as necessary and will be responsible for the day-to-day management of functional activities within a designated category area.
Undertake research and investigation, analysis of results and devise recommendations in respect of tender documentation received.
Exercise judgement or discretion within a framework of rule, practice and precedent and identify and select the most appropriate course of action from a range of options.
Typing, compiling, and issuing emails, letters, acknowledgements, minutes, memos, and reports. Circulating documents on the Compliance Manager's, or other team members behalf. Collating inputs from various sources into a co-ordinated response.
Maintaining records, ensuring that information is recorded, stored, managed, and disposed of appropriately and in line with relevant guidance.
Utilise computer systems and use MS Excel and MS Word, as appropriate, to provide accurate compliance management information, reports, and graphs.
Liaising with other services, schools and external organisations as required.
Participate in adhoc projects to include collating and analysing information to assist and support the work of the section Category Officer.
To ensure confidentiality of all information and records
Any other duties, related to the role, which may arise from time to time.
Typical Qualifications and Experience:
Five GCSEs at Grade C or above or equivalent (including English Language or equivalent)
NVQ Business Administration Level 2 (or equivalent or at least 5 years office admin experience)
Administrative experience with a good knowledge of and experience in using Microsoft Office particularly good MS Excel, Outlook, and word skills.
Experience of managing a team within an administrative office environment is essential

The rate of pay is £15.86 per hour, the hours of work are (Apply online only) Monday to Friday - 36 hours per week.
