An exciting opportunity has arisen for a Facilities Systems Officer
to help support the Facilities Manager in a wide range of tasks across all locations and Redwings sites.

JOB PURPOSE


This role is to provide support to the Facilities Manager in a wide range of Tasks across all locations and Redwings sites.


The main duties will be to oversee the Shire Facilities database on a day to day to basis, raise work orders, and liaise with the Maintenance Team Leader to organise works schedules including issuing day to day tasks for the maintenance team.


This role will support the facilities team by capturing data such as cost, frequency of work, performance feedback and target timeframes.


Other key responsibilities will include data capture regarding off-road vehicles, liaison with Mechanics and other stakeholders to ensure prompt turnarounds with Vehicle Maintenance.

The post holder will be expected to communicate with all parties clearly and effectively.

This post will also be responsible for raising purchase orders and supporting the Facilities Manager on day-to-day basis.

DUTIES AND RESPONSIBILITIES

  • To oversee the Redwings Maintenance Helpdesk, respond to all work requests that are sent by stakeholders through the shire system and allocate a priority response time using the Helpdesk SOPS.
  • Meet daily with the Maintenance Team Leader to allocate work using a calendar system, send responses to stakeholders informing them of the time and date that the maintenance team will respond to their job.
  • Update stakeholders of any changes to works or delays in works.
  • Add schedules of work to the shire system and ensure that schedules and stat compliance works are completed on time.
  • Add all documents and certification to the shire system.
  • Work with the Facilities Manager to oversee the maintenance and repair of our offroad vehicles, keep stakeholders up to date with all repairs and communicate daily with our Mechanics, order parts when required.
  • Raise P.O's supporting the Facilities Manager and Maintenance Team Leader.
  • Keep track of Vehicles costings using the shire system.
  • Support the Facilities Manager in gathering information from the shire system to use in reports.
  • To scan documents and consider other digital solutions to support the need to be paperless where possible.
