Job Summary

The role of the Medical Secretary in a GP Surgery is vital as you are responsible for ensuring all GP letters are accurate and promptly sent out. The ideal candidate must thrive under pressure, excel at multitasking, collaborate effectively with a well-established team, and communicate professionally with GPs. Strong communication skills, both verbal and written, along with computer literacy, are essential. Additionally, the successful candidate should be meticulous, with a keen eye for detail, and understand the importance of handling sensitive and confidential information. While prior GP surgery experience is advantageous, it is not mandatory as long as the candidate can demonstrate suitability for the role in their cover letters and CVs.

This part-time role requires a minimum of 20 hours per week, with the possibility of more hours as part of the Administration Team. Immediate start is available for the successful candidate.

  • Have at least one year of medical secretary experience
  • Possess a good understanding of medical terminology
  • Be proficient with digital dictation systems
  • Ensure quick and accurate typing
  • Demonstrate solid IT skills and readiness to learn new software

New Pond Row Surgery is an innovative NHS GP practice serving 8,950 registered patients. We operate collaboratively as part of a dynamic Primary Care Network (PCN) with two other local surgeries, collectively caring for 29,700 patients in our community.

Job Responsibilities

Key responsibilities of the Medical Secretary/Administrator include:

  • Typing letters, reports, and relevant documentation as needed
  • Communicating with external agencies such as hospitals and community services to ensure efficient referral processing
  • Handling all inquiries effectively
  • Maintaining an accurate referrals database
  • Managing incoming emails
  • Processing call letters upon request
  • Scanning patient-related documents and attaching them to healthcare records
  • Entering data into patient healthcare records as required
  • Processing referrals through the electronic system
  • Clinically coding data utilizing EMIS
  • Answering incoming calls, transferring calls, and addressing inquiries appropriately
  • Addressing administrative queries
  • Keeping a clean and organized workspace consistently

Qualifications

  • Educated to GCSE level or equivalent

  • GCSE Mathematics & English (C grade or above)
  • NVQ Level 2 in Health and Social Care
