Office Assistant, Reading
***We are a managed service provider for IT support and infrastructure solutions where we support clients, worldwide, 24/7. This role would support the office manager in general admin & facilities duties listed below. If you have the skills & experience required & want to be part of our team in a varied & dynamic support role, we'd love to hear from you.

Office Support

  • Car parking reserve for visitors
  • Willingness to take on ad hoc projects when requested
  • Arrange Visitor passes
  • New starter passes take photos print & issue
  • Undertake any photocopying, laminating or binding as requested.
  • Manage and maintain parking permits and telephone directory.
  • Update welcome screen for customer visits, ensuring current company logos are used
  • Liaising with cleaning contractors with regards to cleaning product stock levels & ordering those products on an adhoc basis.
  • Purchase kitchen / bathroom materials ensuring stock levels are maintained.
  • Order stationery as required and monitor stock levels for all office supplies.
  • Order business cards as required.
  • Post receive and distribute the post daily ensuring the outgoing post is franked and ready for collection. Go to the post office for larger shipments and special delivery requests.
  • Order all ESP Branded Merchandising, pens, water bottles, pads, and ad hoc manager requests.

Facilities Support

  • General maintenance around the common areas on a daily basis, keeping the kitchen tidy.
  • Coffee machine maintenance daily & weekly deep clean.
  • Weekly supermarket shop in person for office fruit
  • Weekly online supermarket shop for Milk & other office consumables
  • Purchase provisions from the cash & carry and restock the Reading staff tuck shop, ensuring it is always adequately stocked.
  • Purchase & collection of the Friday Pizza lunch order form Costco. (this will require a driving licence)
  • Arrange external catering for any internal or customer meetings as required.
  • Set up meeting rooms for any external customer meetings, making sure a positive impression is given to all external visitors.
  • Replenish the paper supply for printers daily.
  • Empty the office shredder & office paper recycling bins, ensuring that confidential waste is collected and disposed of correctly.

Health & Safety administration

  • Monitoring New Starter Health & Safety mandatory training is complete & recorded.
  • Monthly & Quarterly Health & Safety office checks are completed.
  • Collating Health & Safety Checks are completed from Airport sites

Fleet administration

  • Send out monthly vehicle checklists
  • Update spreadsheets fuel card prices and usage.
  • Assisting office manager with General Vehicle Fleet Admin

Skills / Competencies / Experience Required

  • Previous office Admin & or Facilities experience required.
  • English and Maths GCSE or equivalent desirable.
  • Good communication skills; interpersonal, written and verbal
  • Full UK driving licence
This role will be working Monday - Friday between the hours of hours a day with some flexibility considered


ESP offers a basic salary up to £13,600 pro-rated + pension, life assurance and access to ongoing training and career development.
