About the role:


The Workforce Planning Coordinator plays a key role in ensuring the London Assistance Centre is optimised for sustainable delivery as we provide Assistance to our global clients.

You will utilise your quantitative and qualitative skills to support analysis, planning, and project management.

Collaborating closely with business function leaders to inform internal operational planning in both business-as-usual and business continuity scenarios across multiple transmissions, including operations and medical teams, as well as cross-border collaborations.


Key responsibilities:

  • Provide rostering support to managers and staff, forwardplanning an efficient roster, while maintaining the integrity of operational requirements.
  • Support planning and administration of staff's professional development, appraisal dates and training.
  • Work with key stakeholders to plan and shape future resourcing strategies to achieve the most efficient and effective utilisation of staff, factoring crossborder dependencies on planning and resourcing.
  • Identify efficiencies and contribute to the improvement of service delivery with analytical insights into staffing requirements and structure.
  • Gather and interpret data which can be used for planning and guidance in management reports.
  • Collect and consolidate operational and performance data to provide indepth data analysis and insights to support strategic planning and progress tracking.
  • Analyse and provide regular reports on operational activity and opportunities for process efficiencies.
  • Design and maintain userfriendly management dashboards that integrate all key data.
  • Maintain and develop client Assistance Centre Tours.
  • Support Client Reporting.
  • Track and maintain internal financial recharges.
  • Project manage, deliver and coordinate key initiatives and global rollouts, particularly change management programmes.
  • Coordinate Business Continuity activities, including scheduling and organisation of scenario planning and testing
  • Manage internal communications and newsletters.
  • Coordinate and manage other adhoc projects that support the London AC and EMEA team.

About you:

  • Excellent numeric, written and oral communication skills. Data visualisation experience is a plus.
  • Strong IT skills including MS Office, advanced Excel (pivot tables, complex formulas), advanced Power BI an advantage.
  • Excellent time management with the ability to manage several projects simultaneously.
  • Knowledge of project management tools (Microsoft Project, Smartsheet) an advantage.
  • Good interpersonal skills. Can work autonomously and within a team to deliver results.
  • Cultural sensitivity and awareness. Ability to work in a multilingual, multicultural environment where collaboration is the norm.
  • Experience in an operationally / commercially focused analytical role
  • Demonstrable exposure of working in an international environment, communicating with people of different backgrounds at different levels
  • Previous experience in professional services industry would be a plus
  • Experience in workforce resource planning and management (e.g. roster management) in a complex operational environment desirable
  • Experience in business continuity planning and risk management analysis desirable
  • University degree, preferably business/management studies or equivalent professional experience
  • Excellent written and spoken English. Other language proficiency is an advantage.
