POSITION OVERVIEW


This position supports the efforts of the Firm's Human Resources (HR) department, working with the HR Operations team to provide a seamless HR Operations service.


JOB RESPONSIBILITIES
HR Systems


Primary responsibilities are related to accurate and timely data entry into PeopleSoft for new hires, personal changes such as name, phone, address, email, citizenship, visa, education, languages, office/cube updates, teleworker agreements, etc for the London, Paris and Brussels office.nSupport the HR Operations team in maintaining / auditing the PeopleSoft database for the London, Paris and Brussels office.nProvide support and guidance to London, Paris and Brussels staff in the use of PeopleSoft, including training new joiners.nEnsure any technical issues with the system are promptly raised.nSupport the HR Operations team in testing bug/issue fixes, system enhancements and developments to PeopleSoft.nProvide ad hoc reports to Directors/Managers as and when required.nWork with the US and International offices on the transfer and secondment process.nProvide HR Operations back up for relevant team members in all critical PeopleSoft functions including timecard review.nRun queries out of PeopleSoft to support requests for data.nRespond to employee queries using standard email response templates and monitor London HR Operations inbox.

Payroll


Responsible for input in PeopleSoft the monthly changes to payroll data for the London office.nProvide support for the preparation and validation of the monthly payroll information for the London office.nResponsible for running the Deduction Calculation (ded calc) process in PeopleSoft.nResponsible for running the monthly timesheet reconciliation process.nResponsible for running the monthly Associate Vacation reconciliation process.

General


Responsible for monitoring, categorising and replying to emails sent to the London HR Operations mailbox and escalating where necessary.nProvide the HR Operations team with general administration on projects and other duties as needed.nAssist the HR Operations team with preparing and reviewing process documentation across the function.nScreen telephone calls and record messages for the HR Operations team.nSchedule meetings, manage diaries and take accurate meeting notes as requested.nLiaising with other departments within the London, International and US offices.


QUALIFICATIONS
Education, Work Experience, Skills


Previous experience of working with HR systems is essential.nExperience of PeopleSoft in a functional capacity is desirable.nHighly effective writing and communications skills, and the ability to communicate credibly and diplomatically with all levels.nExcellent time management and organisational skills, and the ability to simultaneously manage multiple highly detailed projects.nInterpersonal skills necessary in order to communicate with a diverse group of Attorneys, staff and clients and provide information with ordinary courtesy and tact while safeguarding confidentiality.nExcellent attention to detail and follow-through skills.nHigh comfort level with stressful job requirements.
