Hours of work:
Monday to Thursday 9.00am to 5.15 pm, Friday 9.00am to 5.00pm with an hour for lunch.
Holiday:
23 days plus Statutory Holidays
Roll and Responsibilities
Primary responsibility for welcoming clients and other visitors to the office, dealing with general enquiries, phone calls and general office administrative tasks.
- To assist with, general office management such as, photocopying, managing the post and DX, making drinks for clients or buying office supplies.
- To assist with the scanning of documents and collation of bundles.
- The filing and storage of documents
- Record keeping
- Assist with diary management
- To prepare meeting rooms to receive clients and other visitors to the office
- To demonstrate excellent communication and interpersonal skills
- Portray a professional, polite and confident approach when dealing with clients and visitors
- Demonstrate the ability to work in a fast paced office environment
- To be flexible and able to use initiative
- Be self motivated and a willing worker.
- To promote the interests of the Company assisting with marketing and promotion tasks as might be required from time to time.
- To carry out assigned tasks efficiently, diligently and accurately
- Possess the ability to use grammatically correct English and to spell accurately.
- Able to work in a team
- Respectful of client confidentiality
- To demonstrate consideration of equality and diversity
- To adhere to health and safety requirements
Qualifications/ Experience
- The minimum level of qualifications preferred is four GCSE's (or equivalent) including English and Maths
- A good general standard of education
- Experience of working in an office environment is preferred
- Listening to instructions carefully
- Using appropriate questions
- Determining what action needs to be taken following receipt of instructions
- Accurately recording telephone conversations with clients
- Informing Fee Earners of instructions received from clients in a timely manner
Each member of staff must be able to demonstrate the effective use of the following skills which are applicable to their role:
- Key board and computer skills
- Data base
- Spread sheet
- Filing and recording information
- Diary management
Each member of staff shall be responsible for managing their own time under the supervision of a Fee Earner and the Office Assistant.
This shall include the ability to:
- Keep excellent time keeping
- Show Reliability
- Return telephone calls to clients
- Provide effective support to Fee Earners
- Report problems/concerns to supervising Fee Earners
- Assist other members of staff
