We are seeking to recruit a Client Administrator to join a prestigious law firm in London. The successful candidate will report to the Team Leader in the Secretarial Services department. The position requires working 7 hours per day on a shift basis, with hours ranging from 8:30 am to 6:30 pm.

Job Summary:

Process-driven role requiring proactivity and competence in a pressurized, fast-paced environment. Part of a central team responsible for compliance and billing administration on client matters. Takes ownership of tasks and plays a critical role in delivering routine and daily requests.

Main Duties and Responsibilities:

  • Manage Client Inception Module (CIM) ensuring adherence to risk and compliance requirements:
  • Complete CIM in Prescient and gather initial documents per Compliance Team's guidance.
  • Liaise with Compliance Team and fee earners to complete the process.
  • Run conflict checks in Prescient:
  • Send conflict check email to designated distribution group.
  • Review results with matter Associate and save correspondence to matter file.
  • Support case-related work, complete tasks for matters/files, and maintain client & matter data.
  • Produce first draft engagement letters, liaise with matter Associate for completion and distribution.
  • Organize and maintain hard and soft copy files.
  • Process bills:
  • Run narratives and provide to Executive Assistant.
  • Attend internal meetings, print WIP reports, and close relevant files.
  • Liaise with billing team, produce documentation, and prompt fee earners.
  • Liaise with relevant departments regarding billing, KYC, file opening, and payments.
  • Ensure deadlines are met through effective time and workload management.
  • Demonstrate willingness to tackle problems and identify issues for referral.
  • Assist with creating new clients and file opening.
  • Undertake other tasks as reasonably required by the Team Leader.

  • English and Maths GCSE at grades A-C (or equivalent).
  • Numerate and confident with numbers.
  • Typing speed of 50 wpm with high accuracy.
  • Good understanding of Microsoft suite and legal systems/processes.
