We're looking for an experienced Executive Assistant to support two C-level Directors in the business. This role will be responsible for managing diaries and inboxes, coordinating meetings and booking travel.
We're looking for someone highly organised, proactive and adaptable. Experience within a marketing services business or related field would be advantageous, but not essential.

Responsibilities:

  • Organising internal & external meetings and events across internal meetings, sometimes balancing different timezones to work with our global colleagues, as well as external meetings with our clients and stakeholders. This can also include assisting with presentations, preparing documentation & minutetaking, as well as meeting room setup, catering and venue sourcing
  • Travel booking managing all aspects of domestic & international travel for your directors, including organising flights, accommodation, airport transfers and travel documentation including visas, and travel itineraries. All in line with Assembly's sustainable travel policy
  • Processing expenses using our online expenses system
  • Adhoc tasks effectively handling & prioritising all daytoday adhoc tasks that arise. Managing your time accordingly

Requirements:

  • An experienced Executive Assistant, with prior experience of working at C-Suite level and providing 1:1 support
  • Approachable and confident, with a cando and proactive attitude. Discrete and trustworthy.
  • Strong organisational skills you will be working in a fastpaced environment, with multiple priorities at one time so being able to multitask and prioritise your workload and time accordingly is a must.
  • An effective problemsolver, being solutionsfocussed and overcoming road blocks efficiently and calmly as and when they arise
  • Great communication and interpersonal skills strong at building and maintaining relationships whether that's with colleagues or liaising with senior clients, as well as the company's Leadership team and external stakeholders at a global level
