About the role


As
Personal Assistant, you will be stepping into a newly formed role, supporting two members of the Save the Children UK Executive Leadership Team and the Partnership & Philanthropy team.


In your role, you will provide excellent PA and administrative support to the Director of Partnerships & Philanthropy and Deputy Director of Partnerships & Philanthropy and ensure robust systems are in place to facilitate effective delivery across the department in close collaboration with the Deputy Director of Partnerships & Philanthropy.


Using your initiative and ability to think creatively to solve problems, you will support the work and vision of the executive members by ensuring that their time is well managed between operational, strategic and reflective work.


In this role, you will:

  • Provide full administrative support to the Director of Partnerships & Philanthropy, the Deputy Director and other Senior Leadership Team members, as required, including proactive diary management, and arranging all UK & International travel and accommodation.
  • Managing the inbox for the Director of Partnerships & Philanthropy, proactively dealing with enquiries directly where possible, preparing and following up items that need to be handled by the Director or referring to appropriate colleagues.
  • Ensure the Director of Partnerships & Philanthropy and Deputy Director have all relevant documents needed for briefings and meetings through daily packs and bring forward systems.
  • Support the Africa Advisory Board, an exciting opportunity to shape future philanthropic opportunities in line with Save the Children's Shifting the Power commitments.
  • Work closely with the Head of High Value Operations to ensure the P&P Leadership Team operates effectively providing forward planning, logístical support, and support to those drafting papers.
  • Support processing of invoices and respond to queries from department and finance colleagues as necessary.
  • Support departmental HR processes, including coordinating recruitment processes and scheduling inductions.
  • Provide administrative support where needed by writing summary reports, preparing standard presentations, formatting documents, arranging travel and meeting venues as needed.

About you


Confident supporting senior leaders and anticipating their needs, you'll be an excellent communicator able to engage and influence at all levels and deliver key messages effectively.

You'll be an informed key contact for the team and handle internal and external enquires in a professional manner.

To be successful, you'll demonstrate:

  • Proven experience as a Personal Assistant supporting senior level executives or Directors.
  • Excellent writing skills; ability and experience writing in different business formats, taking effective minutes and editing and proofing documents.
  • Experience of providing secretarial support to meetings including minute taking
  • Project management and project support skills; able to coordinate different and parallel work streams working with various stakeholders with professional courtesy and attention to detail.
  • Highly IT literate and confident with Microsoft Word, PowerPoint, Outlook, and Excel, with experience creating reports, spreadsheets and presentations.
  • High level of numerical literacy and a comfort with basic data analysis to support performance management.
  • Experience of complex diary management and internal and external meeting support including organising meetings, preparing agendas, drafting of reports, minute taking, and communications
