Job summary To manage & co-ordinate all aspects of the hire and control of loan kits required from external suppliers, ensuring an uninterrupted service across all Operating Theatres.

To be responsible for the establishment, provision and maintenance of a professional and effective loan service for theatres. To help in stores and when time allows backfill theatres.

Job responsibilities KEY RESULT AREAS/Deliverables/Key Activities Management of loan processes from the request of the Lead Practitioner or Theatre Manager, order through to invoice authorisation.

Authorise, co-ordinate and manage all loan kits on behalf of all the Operating Theatres across the Trust.

To action loan kit requests from either the theatre managers or lead practitioners, raising and placing orders for delivery within defined timescales.

This may include ensuring that company representatives are available if required.

Checking the delivered goods against the delivery note and supplier check list to ensure the goods received are correct and as specified on the loan kit request.

Ensuring that any discrepancies are immediately notified to the supplier and the theatre manager/deputy and are dealt with appropriately. Deal appropriately with any availability issues liaising with appropriate staff. Effective control of the ordering, checking, goods receiving and returns process in collaboration with Steris.

Ensure loan kits are clearly labelled & delivered to SSD (Sterile Services Dept) in a timely manner for processing and sterilisation.


Complete accurate computerised records to enable tracking & audit of the loan kit service Continue to review & develop the loan kit procedures to improve service & cost effectiveness.

Provide support & cover for the team leaders.

To assist the Stores staff in ordering, Placing stock away, General Stores queries, Use of all electronic and paper stock ordering systems Ensure that the inventory of all surgical instruments is proactively reviewed and managed Make judgements in collaboration with the Lead Practitioners/Managers of the suitability of reusable instruments Determine appropriate instrument set structures Ensure both repatriation of missing or damaged surgical are replaced preserving the appropriate set structure in a timely manner Ensure instrument sets that are never used are reviewed and/or disposed off Ensure a mechanism is in place for addressing torn wraps etc.

Manage and update the database of instrumentation set inventory including tray type, location of use and stock levels Knowledge, training and experience Basic computer skills.

Knowledge of surgical instruments.

Knowledge and relevant experience of how sterile services operate Knowledge of using NHS IT systems Experience of working in an operating theatre environment Planning and organisational skills Ability to work unsupervised during weekends, evenings and when called in for emergency situations.

Prepared to attend work in the event of a major incident.

Able to maintain a neat tidy working environment and produce consistent and accurate results in a repetitive production situation working to strict written specifications with high value items.

Physical skills Ability to lift moderately heavy weights. Ability to follow instructions whilst working at speed.

Ability to comment on and assist in development and implementation of new systems.

Ensure robust and effective processes are in place for audit procedures, such as post op checks and the signing of the tray checklists are adhered to Responsibilities for human resources Communicate with the loan kit leaders and Deputy Stores Supervisor.

Responsibilities for information resources Ensure all cleaning and decontamination instructions are sent to SSD Work within the Trust Policy guidelines for surgical instruments.

Receipting of all instruments. Accurate records are kept in line with the Data Protection Act.

Contributing towards patient care and clinical activity in the Department (to include):
Assisting in the care of the surgical patient during the peri-operative period by supporting the multi-disciplinary team. Moving and transferring patients between beds and operating tables in a safe manner, with the minimum discomfort to patients.
