The Offshore service team ensures a diverse range of vessels are maintained, stay in operation and are upgraded during their operating lifecycle.


As a key member of this team, the Commercial Assistant will be responsible for assisting the service support and delivery of commercial upgrade projects for the team of Service Account and Project Managers.

You will support with delivery of a range of integrated systems equipment that powers and controls a fleet of offshore vessels operating in a range of industries from renewable energy to exploration.

This role would suit someone with experience of commercial administration from a range of different industries.


You will have the opportunity to interact with various internal teams as well as suppliers and customers operating globally and work on projects from small service orders to multi-million-dollar projects.


Responsibilities/tasks

  • Coordinating all contractual & financial administration requirements for the Project Manager (PM) & Service Account Manager (SAM) across a range of contracts.
  • Collating contract expenditure records and producing accurate cost summaries to enable agreement of final invoicing to maximise the team's revenue and enable financial milestones to be achieved to forecast.
  • Coordinating Supplier interfaces on behalf of the PM/SAM.
  • Providing Commercial and Project Support to key significant projects including:
  • Order entry
  • Document Control
  • Preparation of purchase requisitions
  • Transmittals for key documents
  • Document storage administration
  • Filing contractual documents
  • Maintaining the material commitment record to manage project purchases
  • Creating/managing Customer financial file (including PO/Invoice registers)
  • Assisting with equipment labelling, packing and shipping requirements
  • Liaison with other departments to:
  • Update programmes
  • Progress specifications/common drawings/instruction drawings
  • Progress information and/or actions

Essential requirements

  • Proficient in the use of Microsoft Office software
  • Excellent communication skills
  • The ability to interface with people at all levels both with Customers organisations and internally
  • Proactive nature with the ability to make things happen
  • Committed to taking ownership for designated tasks
  • Strong organisational skills
