Job Description:
This role is home based with occasional travel to site when required.
As a trusted international supplier, NEC Software Solutions is required to comply with multiple legal and regulatory frameworks and to specific requirements of our internal and external stakeholders.
The Compliance Team Admin Role works within a small multi-national team that provides the assurance for these standards certifications across the whole of our business.
The role will have the following key areas of focus:
- Own and maintain the audit schedule
- Update internal and external audit dates
- Update dates for steering groups and exercises
- Ensure invites are sent out to relevant stakeholders
- Collate information from colleagues to ensure reporting packs and presentations are created prior to management reviews and relevant steering groups
- Coordinate and maintain team calendar and team meetings
- Prepare documentation that is required to be presented at internal and external audits
- Track actions related to the compliance team and create accurate minutes of meetings
- Own the policy index for the compliance and audit team, ensuring;
- Documentation and policies are up to date by liaising with the policy owners and communicating deadlines for regular updates
- Correct versions are available on the intranet (My Insider)
- Monitoring the annual review dates for all policies and alerting the owners that updates are required in the coming months
- Intranet Updates; My Insider
- Maintain, update and improve team pages
- Ensure key team events and successes are posted on My Insider
- Seek to review the ways the team are working and provide suggested improvements
- Get involved in small team projects, help coordinate the team and other relevant stakeholders
- Assist the other team members complete adhoc tasks as required
Qualifications:
Skills and experience essential:
- Can demonstrate ability to plan and organise workload with good results.
- Good communication skills and ability to communicate at various levels within an organisation and third parties.
- Can assist with working on small team improvement projects.
- Ability to produce accurate and highquality documentation.
Desirable:
- An understanding of the basic principles and structure of International Standards (ISO)
