Key Responsibilities

  • The role will involve preparing billing schedules, posting bills onto the Accounts system, checking for compliance with VAT and other tax legislation and sending bills out to clients. The role will also include general duties such as handling queries from the wider firm, reporting on basic time reports and liaising with self employed contractors on timesheets, invoices payable.
  • Additional day to day duties will include:
  • Ensuring accurate and efficient billing processes are operated
  • Compliance with HMRC and internal policies
  • Adherence to the finance SLA's (around accuracy and turnaround times)
  • Efficient resolution of queries from clients and the wider firm
  • Continuous improvement of the billing process
  • Collecting all information needed to calculate bills receivable (order amounts, discount rates etc.)
  • Checking the data input in the accounting system to ensure accuracy of final bill
  • Issuing of client account statements
  • Receiving payments through various methods (cash, online payments etc.) and checking for credibility
  • Executing the new client and new job onboarding process (credit checks, new job number and file opening)
  • Management of time recording across the firm including, chasing timesheets, moving time where appropriate and reporting on staff utilisation
  • Assist in monitoring missing information from new jobs, new client set up

About You:

***- This role will suit a Finance and Billing Assistant who has an inquisitive nature and a pro-active approach to delivery.

  • Further key skills and knowledge we'd like you to possess:
  • Experience working in a busy finance / billing department
  • Medium level Microsoft Excel and Word skills
  • Solid communication skills, both written and verbal
  • Superior attention to detail
  • Organisational skills, planning skills
  • Experience with process improvement would be a distinct advantage
  • Experience with Access Dimensions would be a distinct advantage
