This role entails
This is a busy role that requires excellent organisational and prioritisation skills.

Both Directors need a highly organised and efficient Senior PA to take control of managing the administration for their business area.

They must play a key role in managing the smooth running of their schedule and day-to-day office activities to create efficient time management.

You will also be required to provide lower level support for the Director's direct reports.

The role will require a confident, career PA who shows strong initiative in your role.

Key responsibilities:

  • Extensive diary management
  • Arranging meetings
  • Interbusiness liaison; managing relationships with internal stakeholders and external commercial suppliers or clients; a good ambassador for the department.
  • Booking meeting rooms and arranging catering for meetings
  • Point of contact for clients and guests visiting the office for meetings
  • Managing holiday and leave system for the team
  • Arranging onboarding for new starters; ensuring tech is set up and equipment is ordered
  • Submitting expenses for the team
  • Finance support for the team; setting up suppliers, raising PO numbers, processing invoices, keeping a record of all payments on a budget tracker
  • Supporting senior team with arranging meetings
  • Booking nationwide and international travel and accommodation
  • Preparing itineraries for business trips
  • Working with team of Commercial PAs to ensure Commercial Leadership Team are aligned
  • Providing holiday cover to other Commercial PAs
  • Supporting with events
  • Sourcing external venues for meetings
  • Supporting Directors with their wider industry responsibilities

To be considered for this opportunity you will need to demonstrate the Minimum role criteria:

  • Must have detailed PA experience from a previous role, having managed multiple busy diaries at a senior level
  • Must be confident with Microsoft Office/ Google Workspace apps including Powerpoint and Slides
  • Must have extremely strong and thorough writing communication skills
  • Must have prior experience of senior stakeholder engagement at all levels

The Key role criteria is as follows:

  • It would be beneficial if you have an interest in media/advertising
  • You will ideally have a proven ability to prioritise accordingly to occasionally conflicting needs
  • Confident communicator with strong written and oral skills; good eye for detail
  • Confident and comfortable with managing highly confidential information
  • Demonstrates ability to operate well within a team
  • Flexible and creative approach to problem solving anticipating potential future issues
  • Proactive self starter with initiative who has the skill and the confidence to make appropriate decisions
  • Enthusiastic, energetic & efficient
  • Able to build strong relationships with people across the business and all levels of seniority
  • Sound administrative skills including meeting organisation and diary management
