Administrator


We are creative designers and manufactures of retail display, contract furniture and workspace furniture looking to add to our administration team.

You will be the administrative support to our Woodmill department, ensuring the smooth and efficient functioning of projects from initial sales order to despatch.


General:

To provide a positive approach to customers both internal and external at all times.

To answer telephone calls coming into the department and direct call as required.


Close administrative liaison with suppliers, designers, commercial and manufacturing staff to ensure a consistent flow of quality components and workflows.


Suppliers:

Receive quotes.

Place orders by raising and sending purchase orders.

Scan supplier delivery notes for Purchase Ledger matching.

Assist Accounts Assistant with any Purchase Ledger queries.

Dealing as a point of first contact with supplier queries.

Sales:

Deal as a point of first contact with customer queries.

Production:


Co-ordination of Job Packs, ensuring BOMs and drawings are distributed within an agreed timeframe to ensure jobs are on time.

Admin support to Production Manager and Assistant Manager, as needed.

Create Quality Control documentation per job for shop floor.

Stock Management:

Assist - where necessary in the upkeep of stock records.

Assist with stock allocation as needed.

Assist in the production of the stock figure at month end together with work in progress.

Maintain all Sage stock records.

Receipt all supplier stock deliveries on Sage.

Process all production stock usage records through issuing stock on Sage to projects.

Assist Head of Finance with month end stock reporting.

Logistics:

Liaison with hauliers and couriers to ensure efficient delivery of products.

Essential at appointment:

Excellent computer skills, including Word and Excel.

Effective oral and written communication skills.

Excellent interpersonal and organisational skills.


Must be able to gather and analyse information skilfully, identify and resolve problems in a timely manner and to exhibit a high level of confidentiality.


Desirable at appointment:

Have an organised and analytical approach to work.

Proven experience of working effectively in a time critical environment.

Experience of working with Sage or similar system.
