Customer Services Coordinator Needed

About Us:


We are in search of a Customer Services Coordinator for a dynamic and customer-focused organization in Hexham, Northumberland that prioritizes service excellence.


Responsibilities:
  • Develop, document, and follow standard operating procedures (SOPs) for operational and departmental activities.
  • Ensure order entry and stock allocation meet established parameters and forecasts for sales orders (SOs) and transfer orders (TOs) in UK and export markets.
  • Verify stock availability in both NetSuite and 3PL systems before allocation.
  • Administer all orders efficiently across sales channels.
  • Ensure accurate fulfillment and invoicing of customer bills.
  • Interpret purchase orders to raise sales orders considering stock availability and customer requirements.
  • Process sample orders.
  • Obtain freight quotes and agree with customers before proceeding with shipment.
  • Communicate order deadlines and place orders for specific language back labels.
  • Manage stock relabelling, work closely with customers and 3PL providers.
  • Maintain and update stock sheets, place replenishment orders as necessary.
  • Provide necessary bonded warehouse information to distribution centres.
  • Communicate professionally with customers for collections and deliveries.
  • Book transport and provide order details to customers for bookings with 3PL providers.
  • Control export order management, ensuring adherence to set targets and timely completion of collections.

Essential Skills:
  • Numerate, analytical, professional, and detail-oriented.
  • Passionate, customer-centric, results-driven, and determined to excel.
  • Experienced in customer service, stock allocations, billing, and ERP systems (NetSuite).
  • Understands supply chains and relationship building.
  • Capable of building strong internal and cross-functional relationships.
  • EDI administration experience.

Essential Experience:
  • GCSE or equivalent in Maths & English Grade C.
  • Further qualifications or significant workplace experience.
  • ERP systems user experience (Salesforce, NetSuite).
  • Experienced in telephony sales and omni-channel environments.
  • Customer service and brand advocacy.
  • Skilled in outbound contacts and campaigns.
  • Account/client management and relationship development.
  • Strong attention to detail and documentation skills.

Desirable Experience:
  • Degree or business qualification.
  • Geographical knowledge.
  • Account/client management expertise.
