JOB SUMMARY
- Provide administration duties to enable the wider team and departments to run in a smooth and efficient way.
- Work directly with managers across the organisation, whilst providing administration support to colleagues.
- Promote a stimulating, caring and culturally appropriate environment for all staff.
MAIN RESPONSIBILITIES AND DUTIES:
General Duties:
The Office Administrator is responsible for:
Organising and coordinating office operations and procedures to ensure organisational effectiveness and efficiency.
Arranging travel, meetings, and appointments and booking transport and accommodation.
Dealing with correspondence, complaints and queries.
Keeping all paper and online records, including personnel records, securely updated in accordance with the General
Data Protection Policy and to maintain compliance with ISO standards.
Managing the room hire diary and prepare rooms for conferences and training, etc.
Reviewing and implementation of the company's Health and Safety policy.
Monitoring, arranging and recording staff training.
Overseeing maintenance logs and vehicle fleet maintenance and documentation.
Preparing letters, presentations and reports.
Ordering stationery and equipment.
Performing other related duties as and when required.
To participate in the full range of duties including:
- Supervise Domestic and Maintenance team.
- Liaise with staff, internal/external suppliers, and Service Users.
- Implementing and maintaining procedures/office administrative systems.
- Organising induction programmes and preparing employment contracts for new employees.
- Ensuring all company policies are up to date and compliant with current legislation.
- Using a variety of software packages including Excel, Windows and PSIAMS (customer relationship management system).
- Attending meetings to support senior management, ensuring minutes taken where necessary.
Team
To be a constructive member of the staff team, to ensure Changes UK Principles and Values are followed and adhered to.
Other Duties
To undertake any delegated tasks from the Changes UK Management Team.
To support the Management Team with the production of recruitment and induction programme packs.
To act in accordance with all policies, e.g. Health and Safety, Equality and Diversity etc.
Hours and Annual Leave
A flexible 37.5 hours a week is worked which may include occasional evenings.
Holiday entitlement: 24 days holiday per year plus statutory Bank Holidays.

Essential
GCSE in Literacy and Numeracy
NVQ Level 2 in Business Administration
Minimum of 2 years' experience in an admin role
Experience of IT in a working environment including, Excel and Word
A high level of written and verbal communication skills
Communication/ Interpersonal skills
Minute taking
Ability to plan and organise a workload
Willingness to accept instructions/direction in a professional manner
Desirable
NVQ level 3 Diploma in Business Administration
Managing a team and day to day running of an office/database
Shorthand
Previous experience of managing staff and volunteers
Able to deal with challenging situations
