An exciting and unique opportunity has arisen at Nottinghamshire Healthcare NHS Foundation Trust Headquarters for a Band 3 / 4 (depending on experience and qualifications) Corporate Governance Administrator.


This is a development role that offers a flexible approach to work and provides the ability to prioritise and work on your own initiative, and as part of a wider team, based within the Office of the Chief Executive.

There is a clear opportunity for those commencing at a Band 3 to progress to a Band 4 along a defined pathway of training and evaluation through a competency framework that is itemised within the JD.

This role will provide administrative support to the Director of Corporate Governance and Corporate Secretariat Manager as well as covering for other colleagues in times of sickness or annual leave.

In addition to the roles primary functions outlined within the JD, this role provides experience of working for the Chair, Chief Executive and Executive Directors, board level committee meetings and groups.

This role provides a strong foundation for anyone interested in progressing within a governance focussed career.

  • Provide an efficient administration support service for the whole team
  • Drafting general reports within agreed deadlines as required
  • To undertake office duties including diary management, opening and distributing mail, dealing with telephone calls and enquiries, typing, photocopying collating of documents and electronic filing as well as general administrative support to the Corporate Executive Team
  • To provide occasional support for Corporate PAs in relation to the Committee process
  • Providing support to Freedom of Information which includes updating and monitoring the spreadsheets and database record, monitoring the FOI inbox as and when required, preparing letter templates, electronic filing, and annual leave cover.

Detailed job description and main responsibilities

  • Providing support to the Governors and Membership Officer and being a point of contact for Governors including updating spreadsheets and database on membership, and support with Governor events elections, and minuting of Council meetings
  • Monitoring various shared inboxes as required, dealing with requests and enquiries within remit or escalating to relevant team member
  • Arrange meetings including 1:1 supervision, booking venues and hospitality, having regard for travel times and locations for those attending. (Minimising travel time)
  • Take notes of meetings and work towards taking minutes of formal meetings, type up and distribute within agreed timescales. Including accurate recording of actions, decisions and approvals.
  • Support the Executive Team with interview preparation and packs
  • To have a working knowledge of departmental procedures
  • To monitor and order stock and nonstock items as required
  • Processing invoices though Procurement as required
  • To work effectively both independently and as a team member
  • To support the Corporate Executive team with external events
  • Booking taxi's / public transport to venues as and when required
  • To work within all Health and Safety guidelines and policies
  • Responsible for own mandatory training requirements
  • As part of training role, to cover other administration roles within the team as and when required
