Role Description:

As an Event Manager at ROLZO, your primary role will be coordinating high-end transportation for our worldwide high-net-worth and ultra-high-net-worth clients' events. You will be the dedicated client contact, overseeing the operational aspects of the event from briefing to post-production. You will provide a complete and comprehensive service, managing ROLZO's global events from enquiry and proposal through to booking and completion with a proactive and consultative approach.

Client Relationships and Business Development:

  • Research, write, and design quality proposals to meet client requirements and win business.
  • Present proposals confidently and enthusiastically to build and gain client trust.
  • Help generate repeat business from the existing client base and actively seek new opportunities.

Event Management and Procedures:

  • Manage event transportation from end to end with a personalized approach to each client.
  • Participate in client meetings, briefings, site visits, and follow-up meetings.
  • Plan the necessary actions for the project, establish a retroplanning, and coordinate chauffeurs, vehicles, and coordinators.
  • Conduct preparatory site visits, including domestic and international travel, when required.
  • Select, coordinate, and lead the project team and both internal and external stakeholders.
  • Produce the necessary tools and documents for project execution.
  • Identify potential constraints and offer redress or new or improved ideas.
  • Develop and sustain strong client relationships by proactively offering and delivering consistently high service levels.
  • Update and maintain CRM with accurate and relevant information and accurately track client interactions for actioning accordingly.

Supplier Management and Relationships:

  • Negotiate the best rates from suppliers and actively seek to maximize savings, reduce client expenditure, and increase company profitability.
  • Effectively manage any suppliers and supplier partners involved with an event, ensuring close supervision, consistency, excellent communication, attention to detail within the project, and meeting client requirements.

Financial Management and Reporting:

  • Establish and track the estimated transport budget for the client.
  • Manage all associated costs for an event, including supplier costs, expenses, and margins.
  • Manage full post-event financial management, including all related reconciliation, invoicing, and correspondence.
  • Perform a post-production review to identify best practices and areas for improvement.
  • Compile a post-event qualitative and quantitative report, shared with the client.

Qualifications:

As an Event Manager, several credentials and attributes would be advantageous, but a determined attitude and willingness to learn are equally important:

  • Education to Degree level or higher.
  • In lieu of education – an equivalent combination of education and directly related experience.
  • Extensive high-end Events Management experience within the luxury sector.
  • Comprehensive knowledge of the Event industry.
  • Successful Event management with high client satisfaction.
  • Proven record of working in a fast-paced environment.
  • Skilled user of Microsoft Office Suite and fast learner of other software packages.
