Main Duties

Visitors

  • Greet visitors appropriately and determine their needs in a professional manner
  • Make sure visitors log in, receive visitor passes and are directed to the correct person
  • Ensure there is back up when absent from reception desk

Answer Phone Calls

  • Answer and address incoming phone calls in a timely and polite manner whilst determining the purpose of the call
  • Forward calls to the appropriate person and when not available take and deliver messages accurately
  • Management of our CISCO telephony network

Organise Meetings

  • Book meeting rooms as per the request forms
  • Ensure meeting rooms are set up as required prior to Client meetings
  • Provide support to the PA of the CEO

Reception Area Maintenance

  • Keep the reception area clean, neat and welcoming

Administration

  • Provide business critical support to our Operations Support division.
  • Travel and hotel arrangements as part of our procurement process
  • Raising of purchase orders accurately
  • Supporting recruitment and training as required with booking arrangements and document control
  • Management of internal data matrix's / spreadsheets for collation of information.
  • General administration duties as required
