gap-personnel are currently recruiting for a temporary Receptionist, within the Clinical Programmes Team within Gloucestershire Integrated Care Board's (ICB) Directorate of Transformation and Redesign.

The role is essential in supporting system wide collaborative working to facilitate the delivery of multi-priority work streams identified by the Clinical Programme Groups (CPGs).


As a receptionist you will be following responsibilities:

Main Duties and responsibilities:

Meetings and events:

  • Organising and planning events, including service redesign and stakeholder sessions, booking venues, assembling equipment, organising/producing, and distributing supporting information/material in a timely manner.
  • Organising and supporting digital/virtual events including the coordination of the event within MS Teams or similar platform.
  • Participating in team events.
  • Preparing agendas, taking minutes, and distributing notes of meetings for CPGs and their subgroups.

Information and Finance:

  • Inputting data required for projects within the team.
  • Working with all team members in the collection of information for reporting on relevant projects.

Communications & Engagement:

  • Acting as a point of contact for teams, dealing and responding effectively with potentially complex queries from stakeholders and passing on relevant information to appropriate team members sensitively, seeking any advice if needed.

General Administration:

  • Maintaining diaries and arranging meetings.
  • Supporting team management functions including coordinating annual leave and absence paperwork.
  • Undertaking administrative duties such as photocopying, mailout distributions
  • Developing and maintaining effective electronic and paper filing systems, to ensure that information is kept securely and is accessible to other members of the team.
  • Providing administrative support to a range of department initiatives.
  • Providing PA support as and when required to senior members of the team.

Other:

  • Help pulling together presentations for various meetings.
  • Working with relevant stakeholders.
  • To carry out other appropriate delegated duties as required.

Qualifications:

  • Previous experience in an office role is preferred.
  • Excellent organizational skills and attention to detail.
  • Strong written and verbal communication skills.
  • Ability to prioritize tasks and manage time effectively.
Demonstrable experience of working in an administrative environment and working with computerised data systems.

Must Have:

Experience of working in a health care environment.

Awareness of a range of Health Services provisions.

Working knowledge of Microsoft Office including Word and Excel.

Understanding of Data Protection legislation.

Working hours and Pay rate:

  • Monday
  • Friday 09:00am 17:00pm
- £10.42 p/h - basic rate

**Hybrid - Will work in the office x2 days per week (No set days)
