Our client is a global property brand with a strong track record and reputation within a variety of property services including consultancy, management, investment and commercial agency, residential sales & lettings.


They are an established business who currently employ over 230 staff throughout the UK, and have a fast-growing presence, headquartered in London serving a wide range of clients.


To this end, a rare vacancy has become available for an Office Coordinator within one of their most prestigious residential offices in East London.

As a result, they are seeking to recruit a friendly, enthusiastic, confident, and driven Office Coordinator/ Office Manager to join one of their busiest offices.

This is a great opportunity to join as a first-time office role if you are from college, or a recent graduate.

Notwithstanding, previous property administration or customer service experience would bea bonus for this role.

THE ROLE

_"As a valued office coordinator, you will act as the pivotal connection of cross functionality within your dedicated office branch, whilst also working closely with both the sales and lettings teams throughout the business to provide full secretarialand administrative support across all residential function areas throughout the brand."_

RESPONSIBILITIES

  • Coordinate and progress tenancies to include booking of compliance certificates, tenancy agreements, AML searches, obtaining references, booking of thirdparty services, and checking completion pathways on deals, etc.
  • Producing a variety of correspondence and documents, in line with company policies and formatting, including, but not restricted to, valuation and instruction letters, property details.
  • The placing and maintenance of advertisements through websites, office windows, local and national press.
  • Diary management of the Sales team and the Lettings team.
  • Arranging viewings of properties.
  • Loading properties onto internal CRM systems, ensuring information is current and GDPR compliant, etc.
  • Arranging photographers to attend properties and ensuring appropriate orders of photographs.
  • General office administration including ordering of stationery, photocopying, filing, archiving, tidiness of office, franking machine management, opening and distribution of incoming post.
  • Managing the collection, tagging and maintenance of keys.
  • Tenancy renewal administration
  • Taking responsibility for raising and issuing invoices
  • Ad hoc administrative projects.

SKILLS & EXPERIENCE:

  • Educated to GCSE level or qualified by experience
  • Experience working within a professional environment
  • Proficient in the use of MS Word, PowerPoint, and Excel
  • Strong organisation and administrative skills
  • Good attention to detail
  • Excellent customer service skills
  • Able to prioritise and deal with a heavy and varied workload
  • Excellent interpersonal skills and telephone manner
  • Displays initiative
