Wandle Housing Association is developing (with other London housing providers) a procurement Shared Service, and this is an exciting opportunity to be at the forefront of this transformation.

The role will be as the Procurement Support Officer for the newly established Shared Service.


The Procurement Support Officer(s) will be expected to support the Procurement team in delivering the procurement forward plans for all members of the Shared Service, as well as providing spend/data analysis and reporting information.


A day in the life:

  • To represent the Shared Service in a professional way at all times
  • To support the Procurement team in administrative tasks (letter drafting, document review, minute taking, spreadsheet compilation, Notice publications)
  • To deliver training and awareness to wider staff within the Shared Service members
  • To deal with daytoday general enquiries to the procurement team (manage the Procurement inbox), ensuring a prompt response to all enquiries and referring onto other staff within the Procurement team as required
  • To manage the process of internal approvals relating to procurement
  • To manage the process of new suppliers, including verification checks as required
  • To conduct spend analysis as required (to ensure all spend and contract details are on the Contract Register and contract management software as required), and where gaps are identified, engage with the relevant Budget or Contract Manager
  • To contribute to the development and maintenance of guidance and template documentation
  • Input and maintain data on relevant systems, including Contract Register and Contract Management software
  • Maintaining the content on procurement websites (internal and external)
  • Adopt and embed best practice
  • Contribute to new ways of working and build relationships with key stakeholders across the Shared Service
  • The above list of responsibilities is not exhaustive. The responsibilities and duties will vary from time to time without changing the character of the post. The post holder will be expected to adopt a flexible approach to deliver the programmes of each Shared Service member.

What you will need to have:

Education and Qualifications:

  • GCSE Qualifications or Equivalent (including English and Maths)

Essential Skills and Experience:

  • Experience of working in administrative roles
  • Experience in delivering an excellent customer service
  • Experience of working in a deadline driven environment
  • Ability to deal with conflict and stressful situations effectively
  • Must demonstrate the ability to work under pressure and still deliver work of a high standard
  • Effectively manage and prioritise multiple work demands and priorities across the Shared Service
  • Ability to communicate and positively engage with a wide range of stakeholders
  • Strong interpersonal skills, outward facing and with the ability to work on own initiative with considerable selfmotivation
  • Innovative thinker with the ability to analyse and challenge the existing practices, and propose alternative courses of action
  • Professional business approach
  • Able to operate flexibly in the allocation of duties and areas of responsibility
  • Able to take full responsibility for specific categories of work
