The role
To provide high quality and professional administration support to the Boards and Committees of the Phoenix Group including:

  • Manage Board and Committee calendars by scheduling meetings and all attendees, including annual plans and ad hoc meetings as required
  • Act as key point of contact to any Non-Executive Directors and Chairman of the Boards for all enquiries relating to dates, administration, papers and expenses
  • Provide high quality Board & Committee administrative services by supporting the Deputy Company Secretaries and Company Secretary including at Board and Committee days
  • Manage all infrastructure (VC, catering, room bookings, IT, travel) in place to support the smooth running of Board and Committees;
  • Support Deputy Company Secretary and Company Secretary in preparing agendas and meetings plans
  • Coordinate Board packs and resource documentation, including redaction of sensitive information
  • Maintain corporate databases and retrieval of documents from database as required by the Group

What are we looking for?

  • Organised approach to work, an ability to prioritise and attention to detail to a high level of accuracy
  • Discretion and confidentiality is vital due to the regular handling of sensitive information;
  • Ability to work on own initiative and flexibly as part of a team;
  • Accustomed to operating in a highly regulated environment;
  • Ability to communicate with a variety of stakeholders in a professional and helpful manner. Experience of having dealt with senior stakeholders including Chairman, CEOs, Directors (Executive / Non Executive) and their assistants is valued;
  • Ability to meet deadlines and provide additional support if needed;
  • Strong PC skills, including Outlook, Word, Excel and Powerpoint;
  • Knowledge of Company Secretarial software to include Diligent and Boardbooks is preferred but not essential.
