This role will involve working from home and with the expectation is a min of 3 days per week but not fixed days i.e.

will need to work around RMD's diary.

Role purpose


We care for your future, for our employees, our customers and the wider society and this role helps to enable the Regional MD for Allianz Commercial UK, to deliver on our purpose, by providing full PA support, ensuring they are prepared and organised accordingly to deliver their business objectives.

The role will also involve working closely with the Business Manager for Allianz Commercial and, where appropriate, supporting additional management in their Team, internal clients including other Allianz OEs and external parties.


The role holder will join Allianz at an exciting time as we integrate our UK Commercial businesses within Allianz Global Corporate and Specialty and Allianz UK and through the support provided to the Regional MD, will be pivotal to our success.


Key responsibilities

  • Manages the Regional MD's diary, ensuring all meetings are scheduled, travel logistics arranged and corporate planning timescales are met.
  • Provides full administrative support to the Regional MD, working closely with the Business Manager, and support for other Senior Managers in the absence of their PAs to ensure work is covered appropriately.
  • Anticipates and fulfils the needs and requirements for meetings and conferences (including webinars etc).
  • Ensures key meeting reports, minutes, slide packs/meeting papers, action updates and presentations are completed and issued in good time.
  • Handles confidential data on behalf of the Regional MD in a sensitive manner.
  • Ensures that the Team meets the regulatory requirements in all aspects including the Gifts and Hospitality Register.
  • Prepares and processes invoices for authorisation.
  • Gathers, prepares and submits expense claims on behalf of the Regional MD.
  • Drives and ensures that communications from the Regional MD (blogs, intranet content, including organisation charts and distribution lists) are always kept uptodate.
  • Coordinates the PA Network to act as a central hub for information to help deliver an optimal
- front-facing service.

  • May mentor or coach new PAs as well as help recruit for PA vacancies.
  • Inspire trust, both with the Regional MD and the wider organisation by delivering on the above.

Technical skills

  • Excellent typing skills and ability in O36
  • Able to shorthand/speed write is important.
  • Effective communication and organisation skills.
  • Demonstrates effective influencing and collaborating skills.
  • Ability to delegate in the absence of the Regional MD.

Qualifications

  • Advanced proficiency in O365

Experience

  • Proven PA experience at a senior level within a financial services organisation.
  • Experience of working with various electronic systems and reporting tools.
  • Proven track record of showcasing excellent organisational, communication and prioritisation skills as well as dealing with ambiguity
