We are excited to be recruiting for a Sales and Events Co-ordinator based at Tower of London.

Job Purpose
Oversee all aspects of event/hospitality planning and management, including internal and external events, with experience planning and delivering hospitality, functions, and events and where necessary support the operation of the Café in accordance with client requirements and CoC standards.
We are passionate about exceeding our guests and client's expectations and trust a part of that responsibility to our event coordinator, so you will be the "go to "person for clients, staff members and suppliers and will coordinate everything from a bigger picture point of view to create flawless and memorable experiences.

Duties and Responsibilities

Working closely with the Management team to prepare quotes.
- Organise, oversee, supervise, and deliver events and hospitality bookings within agreed budget with the client and with the company's standards.
- Manage logistics and security, set deadlines for teams and co-ordinate and have follow ups post event/hospitality operations.
- Liaise with different departments to determine details and goals of the events booked in.
- Creating sales opportunity or upselling where possible for future enquiries during client liaison and during events, including possessing a strong working knowledge of the company's offer to further these sales opportunities.
- Planning multiple and different events and enquiries liaising with different suppliers in an appropriate manner
- Creating quotes proposals which fit the client requirements and present it within a deadline.
- Liaise with the Deputy Manager and Finance Business Partner to issue invoices post events in a timely manner
- Managing and overseeing hospitality, functions and events on the day including problem solving, welcoming guests, managing, and communicating with staff and other departments
- Have an excellent knowledge of the venue you are working in and adhere to Health and Safety and Company policies and procedures.
- Anticipating and planning for different scenarios
- Report to the Deputy Manager

Skills and Qualifications
- Excellent communication, organisational and coordination skills
- Proficiency in Word, Outlook and Excell
- Strong written and verbal communication
- Costumer service skills
- Excellent multitasking, time management and task prioritisation skills
- Team Management experience and Team orientated.
- Have a positive attitude, enthusiasm, and initiative.

Food Service
- Ensure that the client expectations of hospitality food and service are consistently delivered in line with the CoC brand at any given time.
- Conduct full briefings to all staff regarding events, detailing food and food service standards to ensure that the staff are fully aware of the client requirements and their role in delivery.
- Continually monitor the service and food provided at an event and give feedback to the service team to ensure the food and service is of the highest quality and in line with client requirements and the CoC style.
- Where necessary, contribute to the teams efforts to ensure the service is provided in a professional and timely manner.
- Create a strong relationship with the Executive Head Chef in order to deliver the best service possible.

Customer Service
- Maintain a high degree of visibility and hands on approach throughout the events.
- Act as the fist point of reference for all client comments and concerns at any given time and event, take any necessary action and inform the Deputy Manager in charge on the day.
- Actively gain costumer feedback and to use the information to improve the offering at any given event.

Managing/developing a Team
- Ensure all staff carry out tasks in accordance with company health, hygiene, quality and safety standards as set out in the appropriate CoC manual.
- As directed by the DGM or GM or Café Manager, provide induction, initial skills and on the job training for all hospitality staff to ensure the service is delivered in line with the client expectations and CoC standards.
- Repost staff absence, timekeeping, and sickness to the DGM/GM.
- Provide coaching and feedback to any member of staff ensuring all team members are aware of CoC standards and requirements and carry out their jobs to the best of their ability in timely and efficient manner.
- Provide feedback on the suitability and reliability on casual staff to the DGM/GM.

Relationship Management
- Represent CoC team on site in an efficient, friendly, and organised manner in all dealing with the Clients, site team and to project a professional image.
- Build and maintain strong relationship with colleagues in CoC in particular with other the site managers and their teams.

Health and Safety
- To keep up with all COSHH and HACCP procedures and methods.
- To report any equipment and/or building fabric faults and any hygiene, health & safety hazard to the management team.

Other Responsibilities
- Work on ad hoc projects as required by the needs of the business.
- Responsible for personal development.
- To attend training courses and CoC meeting where necessary.
