Job summary
We are seeking an enthusiastic Administrator / Receptionist.

Experienced Administrator is a must, desirable with General Practice and EMIS experience. *please see job specification and job description

Rate of pay £13 - £13.91 dependent on experience

Full time permanent / 37.5 hours over 5 days over the full 7 day week.

Must be flexible with hours and days.

Practice opening hours is between 7.30am - 8pm

We are located in Deptford/New Cross, 2 min walk from New Cross Train Station.

Our practice has an expanding population; current list size: 15250 patients.

We are a training practice and offer additional services to:

  • Rough Sleepers
  • Goldsmiths Students
  • Drug and Alcohol
  • Dermatology


We are unique as we offer out of area registrations to any patient within England, so wherever you are in England, a patient can register with us.

You'll be working along the side of a friendly team of;
14 Receptionists/Administrators

1 Reception Supervisor

8 GPs

3 Advanced Nurse Practitioners

3 Nurses

1 Health Care Assistant

1 Clinical Pharmacist

3 Trainee GPs

The main duties will involve administrative work, such as DOCMAN, QOF, referrals and basic receptionist duties.


Not only will you deal with admin and patients, you'll have targeted areas to help achieve big results, such as QOF.

To be responsible for undertaking a wide range of secretarial and administrative duties and the provision of administrative support to the multidisciplinary team.

Duties can include but are not limited to, the processing of information (electronic and hard copy) in a timely manner, liaising with multidisciplinary team members and external agencies such as secondary care and community service providers and in accordance with current policies, including the use of the electronic referral service (ERS).

The following are the core responsibilities of the experienced administrator.

There may be on occasion, a requirement to carry out other tasks; this will be dependent upon factors such as workload and staffing levels:

a. Process referrals using the electronic referral system (ERS) and other systems

b. Process referrals to external agencies such as secondary care

c. Run 2ww audits

d. Input data into the patients healthcare records as necessary

e. Clinical rota management - setting up rota up to 6 weeks in advance, dealing with adhoc changes and assist the practice manager with clinical annual leave

f. Assist with QOF management, to help the practice achieve targets

g. Processing incoming and outgoing mail

h. File and store records as required

i. Photocopy documentation as required

j. Process calling letters as requested

k. Data entry of new and temporary registrations and relevant patient information

l. Scanning of patient related documentation and attaching scanned documents to patients healthcare records

m. Process referrals to external agencies such as secondary care

n. Input data into the patients healthcare records as necessary

o. Action GP2GP tasks

p. Process requests for information i.e. SAR, insurance / solicitors letters and DVLA forms

q. Process incoming e-test results, ensuring they are referred to the relevant clinician

r. Read code data on EMIS

s. Answer incoming phone calls, transferring calls or dealing with the callers request appropriately

t. Manage all administrative queries as necessary

u. Carry out system searches as requested

v. Maintain a clean, tidy, effective working area at all times

w. Support all clinical staff with general administrative tasks as requested

x. Process all DNA letters in accordance with current protocol

y. Produce meeting agendas and record the minutes of meetings
