Job Title: Personal Assistant

There is an exciting opportunity for an experienced Personal Assistant to join our Division of Medicine based at Colchester Hospital, to provide comprehensive secretarial and administrative support to the Divisional Management Team (DMT); Divisional Directors, Associate Director of Operations and Associate Director. As a strong team player, you will also possess excellent communication skills and must be able to take responsibility for day-to-day planning and prioritising of workload, being proactive in supporting the Divisional Team.

Main Duties of the Job

  • Diary management
  • Agenda preparation
  • Minute taking
  • Typing of reports

You will have excellent IT skills, proficient in the use of Microsoft Office and you will be able to use IT and data reporting systems which will support the leadership team in the delivery of divisional performance and quality objectives.

The successful candidate will be able to demonstrate a 'can do' approach to their duties with a strong commitment to excellent service provision. A flexible attitude and the ability to use your own initiative is essential for this role. You should have excellent organisational skills, the proven ability to work under pressure, priorities workloads, and meet deadlines. In turn, we are looking for someone with excellent verbal and written communication skills as you will need to liaise with staff at all levels.

Experience

Essential

  • Minimum 1 year experience in PA role with a proven track record of achievement
  • Experience of setting up and maintaining a successful filing system and electronic diary management system
  • Experience of minute taking
  • Experience of contributing to the development and delivery of business plans to support corporate objectives

Desirable

  • Experience of supporting organisation communication strategies
  • Short-hand experience

Qualifications

Essential

  • Minimum 2 x A levels or equivalent experience
  • Evidence of administration related further education, eg NVQ L3, OCR, RSAII, AMSPAR or equivalent experience

Desirable

  • ECDL

Knowledge

Essential

  • Office Systems: Advanced Word, Excel, PowerPoint, Outlook - email, calendars
