ESTATES/PROPERTY MANAGER SOUGHT BY MARKET LEADING RETAIL/HOSPITALITY/LEISURE BRAND

FOR ROLE COVERING THEIR RETAIL PROPERTY ESTATE
My Client is the Market Leader in Europe in its field within leisure/hospitality/retail.

Due to internal re-organisation they are now looking for a Property Manager Manager to look after their 100+ unit Estate in the UK + some units in Europe.

YOU MUST HAVE HAD EXPERIENCE OF LOOKING AFTER A LARGE PORTFOLIO OF COMMERCIAL PROPERTIES.
Key Responsibilities;
Estate/Portfolio Management

  • Manage day to day property issues including, but not limited to, service charge and insurance costs, general building condition matters and other external issues which may impact on site performance (E.g. planned maintenance, Landlord capital improvementworks, road closures).
  • Ensure Landlords are meeting their lease obligations and managing their assets to an expected standard by conducting regular site inspections and liaising with onsite teams, taking action where appropriate.
  • Manage any Landlord disputes in relation to their legal obligations through to resolution, agree a 'best way forward' taking into account the overall relationship and other business priorities. Escalate disputes to the Head of Property where appropriate.
  • Ensure that strong internal crossdepartment interaction is maintained between Facilities/ Operations Departments and Property to ensure that both repair and maintenance obligations are met.
  • Track and manage all rent reviews, ensuring they are agreed in a timely manner and in accordance with lease terms.
  • Be aware of local legislative changes relating to property management, highlighting practical implications to the Head of Property.
  • Ensure that building insurance provided is adequate and appropriate for each property.
Managing External Consultants & Challenge of Property Costs

  • Source, select and effectively manage appropriate qualified contractors, external advisors and specialists for the UK&I, Denmark and The Netherlands.
  • Ensure all Third Party Consultants are operating within their contracts and that those contracts are current and renewed periodically.
  • Ensure External Consultants are supported, have the relevant information and instruction to conduct detailed challenge of costs.
  • Challenge Landlords and their agents on costs directly when external Consultants are not appointed.
  • Complete reports showing property annual costs and take appropriate action to ensure that Cinema and Head Office charges are kept to a minimum.
  • Ensure that an accurate tracker document for business rates liability payments is held and maintained, liaising closely with external rating advisors and accounts payable.
  • Deliver against cost savings KPI's set by the Head of Property.
Property Databases and Deed Management

  • Working closely with, and instructing the Assistant Property Manager, ensure the Master Property Database (Horizon), is accurate and updated regularly.
  • Track and diarise key property dates and events E.g. lease termination dates, service charge cap expiry dates etc.
  • Own the UK&I Property development database ensuring that it is up to date and relevant.
  • Ensure that competition impact (as tracked through the development database) is communicated to Rating Consultant.
Payment of all Property Costs

  • Ensure all rent, service charge and insurance costs are paid accurately and promptly (including Sub Tenant payments), having regard to our contractual obligations at all times and escalating any issues to the Head of Property as appropriate.
  • Prepare timely monthly and quarterly reports and funding requests for all property costs (including Sub Tenant payments) and send to Finance to authorise. Provide supporting invoices and a clear summary of payments and explanations for deductions or paymentsnot being made due to disputes or for other reasons.
Budgeting, Forecasting & Financial Reporting

  • Prepare and submit the UK&I annual property budget and quarterly forecasts by collating appropriate internal and external data, information and costs for rent, service charges, rates and landlord's insurance costs.
The Person
Essential

  • Proven experience in a Property Manager role preferably in a multi site retail, hospitality or leisure business.
  • Reporting cost analysis, budget control and making business recommendations.
  • Strong and effective negotiator.
  • Previous experience of developing and maintaining effective third party relationships.
  • Experience of Landlord & Tenant legislation and a drive to remain apace with changes through self managed CPD. Including rent review, lease renewal and termination processes.
  • Good awareness of the leisure and retail market across shopping centres, in town and out of town locations.
Desirable

  • Hold a relevant Real Estate qualification ideally to degree level.
  • MRICS qualified.
  • Strong external network with the retail and leisure sector.
