As our Vehicle Disposal Administrator, your role is essential in ensuring the accuracy of our vehicle disposal invoicing processes and maintaining effective communication with our customers.

You will work very closely alongside our Used Vehicle Sales Executive, supporting with each aspect of the disposal cycle.

You will be required to verify billing details meticulously, handle inquiries promptly and professionally, and coordinate seamlessly with our network of suppliers.


Your attention to detail will be crucial as you update vehicle values based on market trends and handle DVLA documents efficiently to ensure legal compliance.

You will possess strong organisational skills as you are required to maintain our documentation systems as well as offer comprehensive support to the wider Defleet team during peak periods.

Your collaborative spirit will contribute to a positive and efficient work environment as you work closely with our team to achieve our goals.


Duties

  • Verify billing addresses, contact information, and calculations to ensure precise invoicing and accurate pricing.
  • Produce timely and precise invoices for auctioned items, incorporating thorough descriptions and sales prices.
  • Communicate release instructions clearly to customers, manage enquiries promptly and professionally, and coordinate with Refurb Centres for swift collections.
  • Update vehicle values accurately based on market trends, verify valuation information before entry, and maintain consistency in data entry formats.
  • Handle DVLA documents promptly and accurately, process SORN efficiently for legal compliance, and maintain thorough records for auditing purposes.
  • Organise and maintain documentation systems, ensure proper categorisation and labelling, and assist with data entry and adhoc tasks.
  • Manage Certificates of Conformity for both active fleet vehicles and those already disposed of, ensuring timely dispatch to appropriate recipients.
  • Offer comprehensive support during peak periods, assist with workload management and coordination.
  • Act promptly on DVLA acknowledgements, monitor acknowledgment processes closely, and document and maintain records for reference.
  • Efficiently process Road Fund Licence cheques, maintain detailed financial records, and coordinate with finance departments for accurate allocation.
  • Offer professional assistance to callers, demonstrate active listening and empathy, and follow established communication protocols.
  • Collaborate effectively with team members, foster a supportive and inclusive work environment, and communicate openly and transparently.
  • Establish and maintain organised documentation systems, implement consistent categorisation and labelling, and regularly review and update systems.
