As an Assistant College Registrar, you will collaborate directly with the Head of College Operations, assist in the leadership of day-to-day support of two Colleges, whilst working across all Colleges and the wider Registry.

You will take the theme lead in our Partnership Operations team, providing your operational expertise to shape and transform this area.

Principal accountabilities:

  • Act as the first point of contact for the Colleges on key themes; provide advice, support and guidance on registry matters including implementing change and business process improvement. Escalate matters, as appropriate, to the Head of College Business Operations.
  • Support the strategic direction of the team and be accountable for the consistent review of process and service levels, ensuring continuous audits are in place with accuracy and timely delivery, though effective collaboration with colleges and wider professional services.
  • Responsible for upholding data quality across the Registry with a 'right firsttime' approach. Guided by the Head of College Business Operations, the post holder will analyse, model, and document data and business processes to align with university policies and regulations.
  • Accountable for clear, effective, and timely communication as appropriate to internal and external stakeholders. Analyse information and generate reports to present data for the Colleges and wider University to support institutional decision making, (relevant to themes and areas of responsibility).
  • Ensure that relevant data, processes, and documentation are optimised for the efficiency and effectiveness of student performance, consistent with external agency regulations and compliant with the requirements of university policies, procedures and audit.
  • In conjunction with the Head of College Business Operations and members of the Registry Leadership Team, drive and shape a Registry service which is positive and future focused and on agreed principles of service excellence. To assure consistent quality provision for students and staff that facilitate their success. In doing so, help establish a high performing customer service culture with excellent leadership, providing and seeking feedback from applicants, students, partners, and stakeholders and adjusting services to reflect customer needs and requirements.
  • To work closely and collaborate with internal and external stakeholder groups fostering excellent relations to ensure expectations are effectively managed and communication is timely to help facilitate excellent service delivery. Stakeholder groups include the Registry, wider University services, digital and registry systems, and third parties, this may include liaising with external software providers and other Higher Education Institutions (HEIs) to provide insight and expertise to identify and manage requirements, implement change and work though knowledge transfer with the team and relevant stakeholders.

Partnership Operations Support:

  • Operational responsibility for all placement operations across the Colleges by providing excellent partnership support and guidance to be responsible for the maintenance of accurate records to meet regulatory governance and compliance standards from admissions to completion of studies.
  • Facilitate a seamless onboarding process for accredited lecturers to ensure adherence to University of Derby standards and compliance.
  • Engage in proactive collaboration with the Programme and Curriculum Management Team, Centre for Quality Assurance, and Registry Systems to formulate a comprehensive annual class schedule for Partnership programmes that optimises resource allocation to maximise efficiency and enhance student satisfaction.
